We are looking for an individual that would be the first face anyone entering our Belgrade office will see! If you are friendly, communicative but also diligent and responsible, with a background in administration - we would like to meet you! Our Office Administration team is in need of a senior colleague who will be able to lead and maintain our site in Belgrade, and provide firendly and pleasent atmosphere for both employees and visitors while also supporting some administrative processes.

Join us as Senior Office Administrator! 

Your main responsibilities would be: 

Administration: 

  • Communication, attending to and negotiating with suppliers with regard to material requests made at the Site
  • Control and review all the Site and facilities, verifying their sound functioning and ensuring that rooms are correctly equipped
  • Coordinate the Sites protection and safety requirements, together with the Site Lead
  • Perform the required bank procedures to manage petty cash.
  • Manage at administrative level the documents generated in the billing processes (SEF/e invoicing) in coordination with Site Lead/Finance, following the established procedures.

Travel Coordination:

  • Arrange travel and accommodation for employee and Company guests when requested
  • Act to ensure safe and efficient travel organisation, in accordance with Company policies and guidelines
  • Take care of the travel reporting

Reception:

  • Take charge of the entire reception area
  • Book meeting rooms for all departments
  • Arrange courier services when needed
  • Receive and attend to visits at the Site
  • Receive, classify and distribute all the correspondence received, and control and monitor the correspondence sent and manage internal mail
  • Preparation and management of the identification badges and accesses (visits, training, etc.)
  • Collaborate in the preparation of events held at the Site, publications and notifications issued by Human Resources, keeping the notice boards earmarked for this purpose up to date
  • Support role in recruiting activities

What are we looking for?

  • Minimum studies: Bachelor's degree (organizational sciences, hotel management, administration and organisation or similar)
  • Prior work experience in Administrative/Office Management would be considered an advantage
  • Knoledge of MS Office package (Word/Excel/PowerPoint)
  • Experience with Government E-invoicing
  • Serbian language (native level)
  • English language (minimu of B2 level)
