The Administrative Assistant is a customer-facing role providing administrative support to Department attorneys, paralegals, and other agency staff; coordinates the scheduling, correspondence, and deliverables of legal staff; is responsible for file creation, management, and maintenance; and assists in the licensing and registration process for persons and firms under the Department’s jurisdiction.

Job duties

Administrative Support, provide full administrative support to the Department’s Consumer Finance Counsel, Money Transmitters/Digital Assets Counsel. and Senior Staff Attorney. Backup administrative support to Legal Division Executive Assistant on a regular basis, which will include administrative support for General Counsel and Financial Institutions Counsel. Provide administrative assistance on an as needed basis to the Director, other legal staff (Securities Counsel, two paralegals) and other professional staff. As needed backup to Securities Administrative Specialist (Administrative Programs Officer I) for specified duties. Edit, proof, and process formal Department Orders, Agreements, subpoenas, correspondence, and other legal documents. Critical to ensure complete accuracy of formal Department actions. Assist with administrative hearing and litigation preparation, including preparation of exhibits and file management. Create, draft, edit, proof, and process letters, forms, reports, and miscellaneous agency documents. Responsible for entering all pertinent licensing, investigation, application, and enforcement data into the Department’s database. Serve as a trainer and resource for other Legal Division staff in use of the database. Shared responsibility for continued development of DocuSign and digital strategy for the Legal Division. Public Contact Duties, respond to requests and inquiries from the general public, Governor's office, Legislature, other state agencies, and legal offices related to programs, processes, and operations. Research information for the Director, General Counsel, and attorneys and create reports on agency matters. Assist with fulfilling statutory requests for public records for the agency. Assist General Counsel, attorneys, agency senior management, and the agency Public Information Officer as assigned in public facing projects such as Financial Awareness Month. Confidential Projects, proofread, verify facts and process highly confidential information associated with potential criminal activity of individuals and institutions under the jurisdiction of the Department. Other duties assigned within the scope of the classification. In addition a State Patrol/FBI Criminal Background Check is required for the position.

Requirements/Qualifications

Minimum Qualifications: Coursework/training or experience related to research, presentation, or publication in an area related to the programs or functions of the employing agency; business administration; accounting; customer service; and/ or technical support work, including use of computer software such as word processing, spreadsheets, and database management.

Preferred Qualifications: Associate degree in legal studies or public or business administration. One year of experience in the legal field, including administrative support in a law firm or government agency work, or administrative, business management, or technical support work. Experience may substitute for education on a year-for-year basis.

Other: Regular and reliable attendance is required. Strong skills in communication and time management. Deadline oriented. Customer oriented. Ability to prioritize, manage, and accurately and timely complete assignments from a number of staff at the same time.

Required: Must pass State Patrol/FBI Criminal Background Check. No convictions of any felonies. No convictions of, and no no-contest pleas to, any misdemeanor involving fraud, theft, or bodily harm

Knowledge, Skills and Abilities

Knowledge: The techniques of preparing/drafting/proofreading of legal documents and forms; administrative and office processes and procedures and associated computer applications such as word processing, file management, record keeping, and database management; customer service processes and principles; the procedures of administrative agencies; administration and management principles and practices; business operations.

Skills: Proficiency in Word, Excel, PowerPoint, DocuSign, Adobe, etc. Highly detail-oriented with emphasis on proofreading for grammar, punctuation, and typographical errors and consistency in formatting. Active listening; asking questions; understanding instructions; creating spreadsheets, charts, graphs, and reports; managing time, schedules, and priorities; monitoring and assessing program performance; applying critical thinking techniques.

Abilities: Work with minimal supervision; manage caseload with minimal supervision; balance assignments from numerous staff; interact and communicate in person, and by telephone, computer, email, and correspondence with the public, regulated industries, agency staff, and other government employees; file management; communicate to exchange information and ideas.
