This position coordinates OHSU Facilities operations at satellite clinics throughout the Portland Metro area to ensure a high level of business continuity and compliance with local AHJ’s and CMS requirements. This individual will coordinate and work collaboratively with landlords, their third-party property management firms, and Campus Planning and Real Estate to ensure lease terms and service levels are accurately developed, reviewed, understood and followed.

Through contracted service providers, internal OHSU service partners, and the Facilities Maintenance team, this position will plan, organize, direct, and execute work in a safe and timely manner. In addition to ongoing maintenance needs, this position will engage in tenant improvement projects and collaboratively work with clinic managers and project managers to provide input on building systems and operational needs. This position will assist in the development and maintenance of a multiyear inventory of capital needs at each site and will coordinate with internal teams through the capital budgeting process.

This role supports the institutional mission and vision by providing safe, compliant, reliable, and inviting facilities while being aggressive in fiscal management in a customer-oriented way. Success in this position is critical to maintaining uninterrupted business operations for the healthcare mission, and directly contributes to achieving OHSU’s financial and mission goals.

Function/Duties of Position

Maintenance Management and Reporting

  • Develop and maintain accurate picture of regulatory compliance. Collect applicable regulatory data from building owners / vendors, and store in an easily accessible location.
  • Continuously monitor and improve service quality and efficiency, including regular building rounds, process auditing, and customer feedback. Developing routine maintenance programs to maintain and improve the physical environment of spaces.
  • Meet with customers (internal, external and across missions) regularly to discuss positive and constructive customer service feedback.
  • Coordinate contracted efforts, including coordination and communication with affected customers, follow-up on contracted work to ensure high quality project completion, and review of invoices to ensure appropriate billing.
  • Coordinate maintenance and operations in compliance with all applicable codes, standards and policies; including, but not limited to CMS, OSHA, and authorities having regulatory jurisdiction.
  • Maintain accurate asset inventories of equipment and systems at each clinic site.
  • Work, and align with Marquam Hill Healthcare Facilities Team to ensure polices, procedures are being followed.

Customer Service

  • Communicates frequently and proactively with stakeholders including but not limited to: status of repairs, scheduling of vendor visits etc., impacts, and risks. Engages customers in overcoming obstacles and takes ownership of risk mitigation and escalates issues appropriately.

Safety and Compliance Management

  • Directs contractors and internal staff to administer safety procedures and enforce them in the field. Delivers a safe work environment for the field craft. Uses OHSU and OSHA safety requirements to prevent incident and injury.
  • Enforces safety rules and policies.
  • Request physical environment documentation from property managers on a quarterly basis. Report up deficiency to Director of Facilities and Campus Planning..
  • Continuously be prepared to provide documentation and answer questions for the authority having jurisdiction (i.e. DNV) for regulatory compliance

Continuous Process Improvement

  • Suggests, promotes and sustains process improvement initiatives throughout all levels of the department. Looks for opportunities to learn new techniques and methods that will improve efficiency and quality.

Position Administration

  • Stay current on regulations, codes and standards associated with healthcare facility maintenance, including networking with peer facilities.
  • Attend departmental meetings and training.
  • Work with Healthcare Facilities Manager to develop and accomplish professional development goals.

Required Qualifications

  • High School Diploma
  • 3 years experience in Facilities Maintenance or trades-related experience
  • AND 1 additional year experience with responsibility for coordination of maintenance staff.
  • Knowledge of NFPA 101 and related codes for Business Occupancies and associated equipment, skill and experience in the operation, maintenance, troubleshooting and repair of refrigeration, HVAC and HVAC control systems (both pneumatic and DDC), mechanical systems, electrical and plumbing systems and components.
  • Knowledge of maintenance requirements for fire systems, portable fire extinguishers and elevator recall, ability to troubleshoot access control and locks; skilled in reading and working from blueprints, drawings, and sketches.
  • Intermediate/Advanced PC skills (Microsoft Office including Excel, data entry, email).
  • Requires excellent writing skills and experience communicating clearly and effectively with large, varied audiences.
  • Driver license valid in the state of Oregon.
  • Compliance with Code of Conduct, Respect in the workplace and Applicable policies, procedures and agreements related to position, department or OHSU as a whole
  • Must be able to perform the essential functions of the position with or without accommodation

Preferred Qualifications

  • Technical classes specifically related to Facilities Management/Building Maintenance duties
  • 5 years experience in a hospital setting in Facilities Maintenance or trades-related experience AND 2 additional years experience with responsibility for coordination of maintenance staff.
  • Experience reading and creating CAD drawings. Advanced PC skills (MS PowerPoint, Oracle, MS Project, MS SharePoint, etc.)
  • DNV CHOP – Certified Healthcare Operations Professional
  • CFC Certification (Universal), Brazing Certification, Limited Maintenance or low voltage electrical license(s).

Additional Details

Pay Range: $39.92 - $46.75 per hour

  • Must be able to work in or around: high levels of noise, extreme high/low temperatures, dirt, dust, odors, fumes and wet environments, poorly lit areas, bio-hazards, radioactive hazards, moving machinery and confined spaces. Flexibility in work schedules that includes “off hours” work i.e. evenings and weekends.
  • Required to walk, stand and work while bending and stooping for extended periods exceeding 4 hours. Ability to lift up to 50 pounds.
