The Job
You will be reporting to Senior Manager, Group Administration who is leading the Facilities Management function. This role is on a 2-year contract.
Responsibilities
- Responsible for daily operations and maintenance of the offices, meeting rooms AV&VC equipment, lighting, projectors, etc are in working condition.
- Liaise with service providers, contractors and building management for preventive maintenance of the offices, M&E, Landscaping, ACMV, Water detection, EMS, FM 200, Fire Protection System, Security system, doors, etc.
- Conduct site walk daily and update checklist for follow up.
- Attend to any queries or feedback on defects and breakdown and ensure rectification and repair works are carried out.
- Assist with the budget planning and control of the expenses to ensure that goods are purchased within budget where possible.
- Work closely with Building Management (BMO) on circular/activities/notices issued by them.
- Execute and supervise vendor on the upkeep and maintenance of plants and Greenwall and ensure services rendered are carried out as per schedule.
- Co-ordinate on logistics set-up for training activities and events at CapitaLand’s offices.
- Assist and coordinate internal move and update the asset list.
- Process carpark application and submit to HOD for approval and update spreadsheet.
- EHS - Implementation of EHS Admin-related programs, monitoring and tracking of program data and info. Serve as Internal auditor during annual EHS audits.
- Verify all purchase order/invoices in relation to facilities eg. electricity, water, plants, AV, M&E, security system, sliding doors, etc and raise PO for facilities purchases.
- Source and request for quotations and negotiate on prices with vendors. Put up cost benefit analysis and recommendation.
- Any other duties as assigned from time to time.
Requirements
- Minimum Diploma in Engineering or related Professional Technical Certification
- At least 3 to 5 years of relevant experience in facilities management or technical background
- Proficient in Microsoft Office applications
- Knowledge in SAP will be advantageous
- Possess good interpersonal and communication skills
- Proactive and strong observation skills
- Able to work under pressure and within tight deadlines
- Able to work outside office hours if required
