Purpose of Position

Provides assistance in support of process and operations as it relates to all functions of the Human Resource Services department. Responsible to manage front desk duties and student onboarding process. Ensures compliance with state and federal laws and regulations, as well as University policies and procedures. 

Essential Functions

Greets visitors, answer phones, takes messages, route calls and follows-up, respond to inquiries and /or refers as appropriate to respective teams. 

Responsible to be in the front desk ready to assist Monday through Friday from 8:00 am to 5:00 pm.

Maintains a heavy administrative process including the initiating, reviewing quality assurance of documents and tracking of the onboarding process for students to completion. 

Responsible for reviewing, tracking and updating internal forms.

Demonstrates effective and professional communication skills.

Provides excellent customer service while consulting with and guiding hiring officials through student onboarding process or other HR processes. 

Maintains confidential and sensitive information; demonstrates the highest level of integrity.

Provides informational assistance to prospective and current employees.

Provides, assists and reviews new hire paperwork and related documentation to ensure compliance with university policies and governmental regulations; advises employees regarding outstanding documentation and assist in the resolution of discrepancies. 

Verifies and checks work authorization documents;

Process new hires through E-Verify system. Follows up with employee if further action is needed. 

Provides Glacier forms to payroll for processing of employee taxes. Ensure all supporting documents are included as requested in the glacier database.

Documents all processes and paperwork received by maintaining logs.

Scan/Quality assurance and link all New Hire documents, I-9, or other personal files.

Monitor documents in Content for accuracy and timely processing of documents.

Provides backup clerical assistance as needed, including computer inputting, proofing, copying and distribution of personnel documentation; and prepares and distributes routine correspondence.

Monitors and tracks work authorization document expiration dates and follows up with the employee to ensure new work authorization documents are updated.

Maintains employment filing systems for all confidential payroll and personnel related documents, including New Hire packets, I-9’s, W4s, Bio Changes, etc.

Responsible for organizing and overseeing the record keeping activities pertaining to New Hire Documents in accordance with records retention schedules and governmental record keeping requirements.

Creates and manages the student employee schedules and training for front desk coverage and assistance. 

Compiles and prepares monthly, quarterly and annual metrics for respective area. 

Prepares and maintains standard operating procedures for respective area. 

Processing of criminal background checks.

May Assist with the Faculty Database.

Responsible for updating Onboarding website. 

May assist other team members in other areas during peak seasons.

Assist with tracking and sending notifications to hiring departments of students who do not meet student employment guidelines. 

Proficiency with all Microsoft Office software and able to learn and use institutional software systems.

Complies with all State and University policies.

Other duties as assigned

Required Qualifications

Bachelor’s degree

Three years related experience to the statement of duties and responsibilities; or equivalent combination of education and experience.
