The Sample Room Coordinator is responsible for managing and organizing product samples, ensuring efficient operations and collaboration with various teams.

Responsibilities:

  • Receive, catalog, and organize product samples within the sample room, maintaining an accurate inventory system and ensuring samples are easily accessible.
  • Track sample movement, availability, and distribution to support efficient sample management.
  • Collaborate with designers, pattern makers, and production teams to prepare, coordinate, and deliver garment samples according to specifications and deadlines.
  • Facilitate effective communication across departments to ensure timely completion of sample-related projects.
  • Inspect incoming and outgoing samples to verify compliance with quality standards and identify any discrepancies.
  • Communicate quality concerns to the appropriate teams and assist in resolving issues to maintain product integrity.
  • Maintain detailed records of sample activity, including inventory tracking, sample utilization, and database updates.
  • Generate reports on sample inventory levels, usage, and movement to support operational and showroom needs.
  • Maintain a clean, organized, and visually appealing sample room environment.
  • Update displays and sample presentation areas regularly to effectively showcase products and support business objectives.
  • Manage the sample order fulfillment process, ensuring samples are properly stocked, picked, packed, and shipped in a timely manner to meet customer expectations.

Qualifications:

  • Previous experience in a similar role within a retail or e-commerce environment is preferred.
  • Familiarity with sample room operations, inventory tracking, and sample management processes is a plus.
  • Strong organizational skills with exceptional attention to detail and the ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook.
  • Strong written and verbal communication skills with the ability to collaborate effectively across departments.
  • Self-motivated and able to work independently while demonstrating initiative and accountability.
  • Positive attitude, strong work ethic, and a commitment to providing excellent internal and external customer support.
  • Ability to maintain accurate records and manage inventory and tracking systems with a high degree of accuracy.
  • Ability to lift, move, and organize product samples as needed.
  • Comfortable working in an office, showroom, warehouse, or sample room environment with occasional physical activity.
