Position Summary:

The Payroll Administrator is responsible supporting accurate, compliant, and timely payroll processing across assigned company codes and locations.. This role serves as a subject matter expert in payroll processing, ensuring data integrity, regulatory compliance, and operational consistency across multiple locations.

The Payroll Administrator will process and support payroll cycles, validate earnings and deductions, assist with compliance-related processes, and support system optimization efforts — including the organization’s transition to Dayforce. Strong attention to detail, time management skills, and the ability to work in a fast-paced environment are essential.

This position is based at Falck USA headquarters in Orange, CA.

Responsibilities:

The Payroll Administrator must be able to adequately perform essential duties in an organized and efficient manner. These duties may include, but are not limited to, the following:

  • Process payroll for assigned company codes, ensuring accuracy and timeliness
  • Apply working knowledge of federal, state, and local payroll regulations
  • Support payroll tax reconciliations and assist with quarterly and annual filings (941, 940)
  • Partner with Payroll and cross-functional teams to support system implementations and transitions (ADP Vantage to Dayforce), including testing, validation, and process stabilization
  • Run and review payroll edit reports to identify discrepancies
  • Troubleshoot payroll processing issues and escalate complex system matters as needed
  • Create and maintain payroll procedures and documentation for union and multi-state company codes
  • Assist with payroll audits and compliance requests
  • Support tax ID setup and payroll reporting for company growth and new jurisdictions
  • Ensure payroll data integrity and documentation standards are audit-ready
  • Provide standard payroll reporting as requested
  • Partner cross-functionally with Accounting, Benefits, Legal, B.I, and Operations to improve payroll processes and automation
  • Support retroactive pay calculations related to union contract negotiations or amendments
  • Assist in wage scale updates and system configuration changes resulting from union contract renewals
  • Other duties as assigned

Qualifications:

To perform this role successfully, the Payroll Administrator must demonstrate solid payroll processing knowledge and the ability to manage multiple priorities in a fast-paced environment.

The individual in this position must possess the following:

  • Advanced Excel proficiency includes pivot tables, complex formulas, and data analysis.
  • Strong working knowledge of payroll systems (ADP Vantage, Dayforce/Ceridian Preferred)
  • Experience processing multi-state payroll preferred
  • Familiarity with payroll tax processes and compliance requirements
  • Strong attention to detail and commitment to data accuracy
  • Union payroll experience preferred but not required
  • Problem-solving skills with the ability to resolve routine payroll issues
  • Ability to adapt quickly in a fast-paced environment with evolving systems and organizational growth
  • Exceptional organizational skills with the ability to manage competing priorities and tight deadlines
  • Strong customer service orientation with the ability to communicate effectively and professionally with internal stakeholders, leadership, and external partners
  • Ability to exercise independent judgment and discretion when resolving complex payroll matters
