We are seeking a detail-oriented and highly organized Accounts Payable Coordinator to join our finance team based in Parsippany, NJ office. This is a hybrid work schedule; three days in the office and two days remote.
Summary:
The Accounts Payable Coordinator will be responsible for processing invoices, managing vendor relationships, and ensuring timely and accurate payment of company obligations. This role is critical in maintaining the financial integrity and operational efficiency of our firm.
Key Responsibilities:
- Review and process vendor invoices in a timely and accurate manner
- Match purchase orders, invoices, and receiving reports to verify accuracy
- Code expenses to appropriate general ledger accounts
- Prepare and process check runs, ACH payments, and wire transfers
- Maintain vendor records and ensure compliance with W-9 and 1099 requirements
- Resolve invoice discrepancies and respond to vendor inquiries
- Assist with month-end closing activities and provide support to the Finance team
- Maintain organized and up-to-date AP files and documentation
- Support internal controls and accounting policies and procedures
Qualifications:
- High school diploma or equivalent required; associate degree in Accounting or related field preferred
- 1–2 years of accounts payable or general accounting experience
- Proficient in Microsoft Office, especially Excel
- Experience with accounting software
- Strong attention to detail and accuracy
- Excellent communication and interpersonal skills
- Ability to prioritize tasks and meet deadlines in a fast-paced environment
