Position Summary:
As a member of the Student Life team, the Student Events Coordinator is the primary point of contact for student organizations to schedule space and services for events on campus. This individual receives, inputs, and updates all event information through the event management system; communicates all relevant policies and procedures of The College of New Jersey to students, processes all billing and payments, and advises student organizations on setup and resource options to ensure the success of their events. This individual serves as a liaison with other departments on campus including, not limited to, Building Services, Campus Police, Conference & Event Services, and Facilities as it relates to student events. This person hires, trains, evaluates, and provides daily supervision to a small staff of Student Events Assistants who assist in the processing of student requests.
Main Responsibilities:
Program Development and Support:
- Provide comprehensive event planning support services to a student organization system with over 230 student groups. This includes:
- Meet with student organization representatives to provide logistical support and advisement as it relates to safe and efficient use of campus spaces and services for their events.
- Help students develop event planning critical thinking, risk reduction skills and general event planning “know-how.”
- Utilize the Event Management System software to schedule, input, and update event information for spaces inside the BSC and across campus.
- Coordinate services from other providers on campus (ex. Facilities, Building Services, Campus Police, etc.).
- Collaborate with department-supported spaces across campus (Library Auditorium, Student Recreation Center, Kendall Hall, Music Building, etc.) to navigate students through their independently established RSO reservation processes and costs.
- Create, edit, and revise room and event diagrams utilizing Social Tables, a diagram management software system.
- Update resource charges and invoice previews for billing through the Student Finance Board for student organization expenses for campus services.
- Collaborate with stakeholders within Student Life and from around campus (ex. Campus Police, Res Ed & Housing, Student Conduct, Title IX, Dean of Students, Emergency Preparedness, General Counsel, etc.) to review applicable policies and procedures annually.
- Work closely with the Homecoming Committee & Student Government on Spirit Week and Homecoming & Parent/Family Day events.
- Produce reports as requested by the Assistant Director and the Associate Director of Student Life including completed billing and space utilization reports.
Student Event Assistants:
- Supervise student employment team of Student Event Assistants who assist in processing room and service requests for student organization events. In collaboration with the Assistant Director, assist with student employment hiring process and determine training needs, develop materials, and present training sessions that demonstrate an understanding of event planning and student organization needs. Host team meetings, trainings, process reviews, and provide operational and developmental feedback to student events assistants team members.
Assessment and Training:
- Assess event planning knowledge of student organizations and overall scheduling policies and procedures. Make data-driven recommendations for improvements to processes, policies, procedures, and training within the Office of Student Life.
Required Qualifications:
- Bachelor's degree in related field or equivalent combination of education and/or experience.
- Minimum of two-years experience related to event planning or programming.
- Excellent oral and written communication skills. Ability to modify communication based on the intended audience. Highly developed organization and time management skills, as evidenced by successful management of multiple simultaneous projects.
- Technical proficiency with MS Excel, Word, and ability to quickly learn and adapt to new software. Proficiency with EMS event management system or other equivalent software (25Live, Astra Schedule, etc.) preferred.
- Demonstrated success planning events in a collegiate or conference environment. Working knowledge of risk management in event planning.
- Knowledge of customer service philosophies and ability to translate that to create positive experiences for student organizations.

Preferred Qualifications:
- Previous experience working in a student center/union preferred.
- Knowledge of the developmental needs of college students is preferred. The ability to apply this knowledge to both the supervision of student workers with an emphasis on personal/professional development and advising student clients to ensure successful planning and execution of their events.
