ABOUT THIS POSITION
The Administrative Assistant I is assigned to the Food Systems Program within the Office of Environmental Programs (OEP), which provides independent technical expertise and environmental leadership to City management, serves as a technical and/or management resource for operating departments, and leads in the creation and implementation of city-wide environmental policies and programs to reduce environmental risk and liability in City operations. OEP coordinates programs related to environmental quality, climate action, and food systems. The Phoenix Food Systems Program was established in 2021 with the purpose of achieving the City Council-approved goal of a resilient, equitable, and thriving local food system with healthy, affordable, and culturally appropriate food for all in Phoenix.
The Administrative Assistant I will perform a variety of administrative tasks to support the development and implementation of new and existing food systems programs. The position must be able to interact with a wide variety of food systems partners, including Phoenix residents, local farmers, food businesses, and non-profit organizations, as well as representatives of other City departments. Work will be performed under the general supervision of the Food Systems Program Manager.
Responsibilities include assisting in the implementation of food systems programs through a variety of administrative tasks, such as:
- Contract monitoring, budget tracking, and processing invoices.
- Review and communicate food systems program outcomes by monitoring agreements, collecting and analyzing key performance indicators (KPIs), and creating content for reports, presentations, and dashboards.
- Support new and existing food systems programs by participating in strategic planning discussions and assisting with program activities.
- Learn and utilize the SAP accounting and procurement systems for budget tracking, purchasing, and invoice processing duties.
- Support the Food Systems Program's communication efforts by developing content for social media, newsletters, flyers, reports, and the city website.
- Assist with any community engagement, planning, and reporting efforts related to food systems programs, community food events, and the Phoenix Food Action Plan.
- Assist with the development of systems, procedures, and forms for data collection, reporting program outcomes, and assessing progress toward the goals outlined in the Phoenix Food Action Plan.
- Gather and communicate information related to food systems and food access programs to a public audience. Assist with the preparation of federal, philanthropic, and local food systems grant applications.
- Support OEP's administrative assistant II (AAII) position with office-wide administrative duties such as utilizing SAP accounting and procurement systems. Demonstrates superior seamless customer service, integrity, and commitment to innovation, efficiency, and fiscally responsible activity.

SALARY
Pay Range: $24.93 to $44.77 per hour.
Hiring Range: $24.93 to $38.68 per hour.

MINIMUM QUALIFICATIONS
- One year of paraprofessional experience in governmental research and finance administration or paraprofessional experience aiding an administrative officer in technical and administrative problems and affairs
- Bachelor's degree in public or business administration or a related field
- Other combinations of experience and education that meet the minimum requirements may be substituted
- All finalists for positions are subject to a criminal background check applicable to the department or position.
- Some positions require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or if the employee does not have personal insurance coverage.

PREFERRED QUALIFICATIONS
The minimum qualifications listed above, plus:
- Spanish fluency is highly desirable.
- Experience with the Microsoft Office Suite and standard computer uses and applications (i.e., Microsoft Office Suite, WebEx, Teams, SAP, etc.)
- Experience working within a government or public sector environment
- Experience working with local food systems.
- Experience with grant research, writing, and reporting.
