Organization Overview

The Rockefeller University is a world-renowned center for research and education in biomedical sciences. The Communications and Public Affairs (CPA) team develops the University's overall communications strategy and messaging, and is responsible for a number of print and electronic publications, the external website, media relations, social media, public events, and more.

Overview

The Rockefeller University seeks an organized, proactive, and detail-oriented Communications Coordinator to join its Communications and Public Affairs (CPA) team. This role provides administrative support to ensure the smooth and efficient day-to-day operations of a fast-paced department responsible for advancing the university's brand, media relations, and internal and external communications. The Communications Coordinator will also assist as needed with project management, social media, editing/proofing and other duties.

  • This is a part-time position working 20 hours per week.

Responsibilities

Reporting to the Associate Vice President, CPA, position responsibilities include, but are not limited to, the following:

  • Administrative support to the AVP and other senior team members, including scheduling, calendar management, travel arrangements, and expense reporting. Process invoices and purchase orders; monitor and reconcile budgets and office expenditures.
  • Coordinate departmental meetings, events, and logistics, including room reservations, catering, and AV setup.
  • Track project timelines, deadlines, and deliverables to support communications campaigns and initiatives.
  • Manage incoming communications, including phone calls, emails, and inquiries directed to the department. Assist with the preparation and formatting of documents, presentations, and reports. Support the onboarding process for new hires, interns, and vendors.
  • Serve as a liaison between CPA and internal departments across the university.
  • Perform other administrative duties as assigned to support team goals and operations.

Qualifications

REQUIRED QUALIFICATIONS:

  • The successful candidate is a collaborative team player with excellent communication skills, a strong sense of discretion, and a commitment to supporting the mission of a world-renowned biomedical research institution.
  • A bachelor’s degree is required; must possess a minimum of two (2) years of relevant administrative experience, preferably in a communications, public affairs, higher education, or nonprofit environment.
  • The ideal candidate has exceptional organizational skills and a high level of attention to detail, possesses strong written and verbal communication skills.
  • Able to prioritize multiple tasks in a deadline-driven environment.
  • High level of discretion and professionalism when handling sensitive information.
  • Must be proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experienced with collaboration platforms such as Zoom, Slack, or Microsoft Teams.

PREFERRED QUALIFICATIONS:

  • A familiarity with communications tools (e.g., Mailchimp, WordPress, or Adobe Creative Suite) is a plus.

The hiring range provided represents The Rockefeller University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
