Job Title: Private Event Coordinator

Job Summary:

The Private Event Coordinator is responsible for planning, organizing, and executing private events such as weddings, parties, corporate gatherings, and other special occasions. This role involves liaising with clients to understand their vision, coordinating with vendors, managing logistics, and ensuring a seamless and memorable event experience.

Key Responsibilities:

  • Meet with clients to determine event objectives, preferences, and budgets
  • Develop detailed event plans, timelines, and budgets
  • Source, negotiate, and coordinate with vendors including caterers, decorators, entertainment, and rental companies
  • Manage all logistical aspects of events, including venue setup, catering, entertainment, and technical requirements
  • Oversee event setup and breakdown to ensure adherence to client specifications and safety standards
  • Provide exceptional customer service and act as the main point of contact for clients throughout the planning process and on the event day
  • Troubleshoot and resolve any issues that arise during events promptly
  • Ensure compliance with health, safety, and legal regulations
  • Maintain organized records of all event details, contracts, and communications
  • Assist in marketing and promotional activities to attract new clients

Qualifications:

  • Proven experience in event planning or coordination
  • Excellent organizational and multitasking skills
  • Strong communication and interpersonal abilities
  • Ability to work under pressure and handle multiple events simultaneously
  • Creative problem-solving skills
  • Flexibility to work evenings, weekends, and holidays as required
  • Knowledge of venue operations, vendor networks, and current event trends

Preferred Skills:

  • Bachelor's degree in Hospitality, Event Management, Marketing, or related field
  • Experience with event management software
  • Strong negotiation skills

Working Conditions:

  • Primarily office-based with on-site event management
  • Requires physical activity for setup and breakdown
  • Fast-paced environment demanding attention to detail and adaptability
