The Division of Information Technology (DoIT) is seeking a detail-oriented and proactive Student Systems Program Coordinator to support the Student Systems Portfolio. Under the general supervision of the Student Systems Program Manager, this role provides both technical and professional services to ensure the smooth operation and continuous improvement of student systems and services.

Key Responsibilities

  • Coordinate change and release management processes for the Student Systems Portfolio.
  • Facilitate daily administrative operations and serve as a liaison between Student Systems Support and technical vendor teams.
  • Assist upper management and business partners in prioritizing tasks and planning future initiatives.
  • Develop and maintain standardized procedures for system enhancements, incident resolution, and change management.
  • Manage Student Systems ServiceNow work queues and maintain portfolio data for reporting and presentations.
  • Conduct special projects as assigned by the Student Systems Program Manager.
  • Participate in planning sessions, recommend resource allocation, and provide strategic feedback.
  • Support employee growth and development within the team.
  • Occasionally work outside of normal business hours to support production and other critical activities.

  • Familiarity with ITSM tools such as ServiceNow.
  • Strong organizational, communication, and interpersonal skills.

This is an on-site position located on the downtown Columbia, SC campus.

Job Related Minimum Required Education and Experience

Requires a bachelor’s degree in a job-related field and 2 or more years of job-related experience, which may be substituted by an equivalent combination of job-related certification, training, education, and/or experience.

Required Certification, Licensure/Other Credentials

Preferred Qualifications

Bachelor’s degree and relevant Program Coordination experience in a Student Information System or IT organization. Experience working with the Ellucian Student Information System, Banner. ServiceNow application familiarity along with experience in a higher education institution is highly desired. Program or project management skills.

Knowledge/Skills/Abilities

Wide-ranging knowledge of Program Coordination best practice policies and procedures. Project management skills. Identification of and adherence to IT best practices and standard operating procedures for program management are important; however, flexibility in meeting the needs of customers is also a key consideration. Experience with ticketing systems and their capabilities as well as familiarity with Student Information Systems. Deep knowledge and experience in at least one of the following areas: Change Management, Release Management, Ticket Tracking Systems, or SIS support/coordination. Ability to exercise sound judgment and discretion. Effectively establish and maintain successful working relationships with the aptitude to communicate clearly and concisely. Appropriately facilitate requests and instructions. Ability to work effectively with users, business partners, vendors, IT personnel and all levels of management. Competence and working knowledge of information systems software such as internet software, spreadsheet software and word processing software as well as basic PC applications and operations – including Word, Excel, PowerPoint, and other MS Office products.

Job Duty

Coordinates Student Systems Portfolio change and release management along with daily administrative activities and coordination between Student Systems support and technical vendor teams. Responsible for confirming that new processes, integrations, upgrades, and enhancements are documented for future reference. Works directly with the Student Systems Program Manager, Student Systems support and vendor technical teams. Oversees implementing system improvements and functionality in accordance with established change control and release management processes that meet business requirements and objectives.

Oversee Student Systems ServiceNow work queues and establishes ticketing assignments in correlation with established guidelines, business priority, and customer need. Assesses newly submitted work requests from Business Partners and creates new ticket types according to DoIT/ITIL definitions and standards.
