A Glimpse of the Job

The Program Coordinator II for the Huffines Institute for Sport's Medicine and Human Performance is a critical member of the Institute Administrative Council and is responsible for planning and managing Huffines Institute activities. Institute activities managed through the Administrative Council aim to grow multidisciplinary, impactful, and innovative research in sports medicine and human performance. Initiatives and programs are designed to facilitate Huffines Faculty Affiliates and Graduate Student Members' research, education, training, and professional growth opportunities. Specific faculty and student enrichment activities will involve facilitating grant proposal generation, scholarship, and affiliated facility research utilization. The Program Coordinator will assist the Executive Director, Associate Director, and Medical Director in managing all enrichment activities and communication with faculty, students, and community partners. The position will assist with scheduling and planning symposiums, seminars, and meetings. The Program Coordinator will also work with the Executive Director to foster new collaborative and multidisciplinary grant development and submissions. Working with the Executive Director and Associate Director, the Program Coordinator will manage ongoing Huffines Institute activities involving faculty seed grants, student research grants, and student travel awards. This position will interact with the Huffines Institute Clinical Research Oversight Committee to provide faculty research access to Huffines-affiliated facilities and work with the directors of these facilities to schedule research access. The role also involves supervising Huffines Undergraduate Student Fellows to promote Huffines activities through social media outlets.

Essential Duties/Tasks

Enrichment Activity Management for faculty and students

  • Coordinate the application and selection process for faculty seed grants, student research grants, and student travel awards
  • Oversee funded faculty seed grants and student research grants for compliance
  • Manage the scheduling and implementation of invited Hilliard-distinguished lectures, seminars, and discussions sponsored and conducted by the Huffines Institute.
  • Manage Huffines faculty affiliate and student member applications and communications
  • Assist the Executive Director in developing Faculty Affiliate multidisciplinary research grant applications utilizing Huffines-affiliated facilities.
  • Provide overall planning and coordination of available resources, tasks, and necessary steps to complete collaborative grant submissions and other research support tasks within a specified time frame.
  • Communicates with and provides an advanced level of guidance and direction to individuals included on a particular grant during proposal writing and grant submission
  • Develop content for professional development workshops for affiliated faculty and student members.

Huffines Institute Management

  • Assist with the Internal Advisory Board communication and scheduling of meetings
  • Coordinate activities involved in the oversight of research utilization of Huffines Affiliated facilities through the Clinical Research Oversight Committee
  • Assist the Executive Director and Associate Director in planning and implementing Huffines Institute activities and drafting and submitting grant proposals.
  • Update and monitor online forms related to Huffines Initiatives.
  • Assist in the reporting of Institute activities annually to the university administration.

Communication and Social Media Development

  • Supervise Huffines Undergraduate Fellows related to their role in assisting with social media outlets promoting Huffines Activities
  • Support the annual report and pamphlet development to promote the Huffines Institute.
  • Update the Huffines Institute Web Page with information beneficial to faculty affiliates, student members, and community partners.
  • Perform additional research-related or administrative tasks as directed by the Executive Director.

Qualifications

Required Education & Experience

  • Bachelor's degree
  • 4 years of related experience

Preferred Qualifications

  • Previous experience with a university academic and research environment.
  • Recent and relevant clinical and translational research experience.
  • Evidence of successful collaboration in a professional setting.
  • Involvement in planning and working with groups on research-related scholarship, including presentations, peer-reviewed publications, and grant formulation.
  • Skill in using Microsoft Office or other software to prepare manuscripts and grant proposals.
  • Interest in disseminating and increasing sports medicine and human performance knowledge

  • Strong organizational and planning skills to handle multiple, time-sensitive responsibilities, set priorities independently, and meet deadlines.
  • Advanced knowledge of and proficiency in Microsoft Office, particularly Word, PowerPoint, and Excel.
  • Ability to maintain confidentiality.
