Key Responsibilities:

  • Oversee day-to-day accounting operations including A/R, A/P, payroll, bank reconciliations, and month-end close.
  • Supervise and support office staff including title clerks, accounting clerks, and administrative team members.
  • Train, mentor, and evaluate performance of office staff.
  • Maintain general ledger and prepare monthly financial statements.
  • Ensure compliance with all dealership policies, local/state/federal regulations, and manufacturer guidelines.
  • Handle manufacturer financial statements and ensure timely submission.
  • Manage month-end and year-end closing processes, including journal entries and schedules
  • Maintain schedules for fixed assets, prepaid expenses, and accruals.
  • Manage internal audits and assist with external audits.
  • Implement process improvements to enhance accuracy and efficiency.

Essential Duties

  • Hires, trains, and supervises office personnel.
  • Analyzes and organizes office operations and procedures.
  • Prepares a complete financial statement monthly according to dealership guidelines and the manufacturer's format and time frame.
  • Controls all posted documents, including time records, vehicle deals, commissions and additions and changes to inventory.
  • Controls petty cash amounts for dealership and sales department.
  • Reconciles select accounts monthly.
  • Approves adjustments to inventory and receivable accounts.
  • Ensures that all manufacturer accounts including warranty claims, rebates, interest, protection, and co-op advertising accounts are current and accurate.
  • Prints monthly journals, schedules and general ledger. Closes month by processing accounting month-end.
  • Assists in completion of annual review/audit.
  • Prepares payroll on a timely basis, posts payroll and maintains payroll records.
  • Stays abreast of current factory incentives and codes deliveries on dealership computer system accordingly.
  • Compiles information and prepares reports as requested by management and/or dealer principal.
  • Maintains a professional appearance.
  • Attends managers meetings as requested.
  • Other tasks as assigned.

Qualifications

  • CDK experience is preferred
  • Understanding of all functions in the accounting office of an automobile dealership
  • Ability to train, coach and lead office staff positions
  • Strong knowledge of Microsoft Word and Excel software applications
  • Ability to work well under pressure and meet time sensitive deadlines
  • Must be able to pass background and Drug Testing
