Job Opportunity: Administrative Coordinator – Operations

Location: Essington, PA

Compensation: $22-$23/hour

Work Schedule: Monday – Friday, 8:30 AM – 5:00 PM (some flexibility required based on operational demands)

A thriving organization in a bustling, high-energy setting is hiring an Administrative Coordinator to bolster our Operations team. This position plays a vital role in supporting multiple departments, including Operations, Maintenance, and Specialty Services, ensuring seamless workflows and effective collaboration with internal and external partners.

Key Responsibilities:

  • Assist the Operations Supervisor with tasks such as organizing files (both digital and physical), arranging maintenance schedules, and liaising with vendors, contractors, and other key contacts.
  • Help communicate updates and notices to tenants alongside the office support team.
  • Oversee the onboarding process for new hires.
  • Monitor and update records related to staff and inventory to ensure accuracy and timeliness.
  • Bridge communication between Finance and Operations by managing document exchanges.
  • Alert emergency services about operational start and end times as needed.
  • Handle tracking and distribution of purchase requests within the department.
  • Work with vendors to schedule routine and urgent restocking needs.
  • Support the planning, tracking, and rollout of various projects and events.
  • Take on additional duties as they arise to meet team goals.

What We Need From You:

  • An Associate degree or comparable hands-on experience.
  • Advanced skills in Microsoft Office (Excel, Word, PowerPoint, Outlook), Microsoft Teams, and Adobe tools.
  • Sharp attention to detail and top-notch proofreading abilities.
  • Strong multitasking skills paired with a knack for prioritization.
  • Professional phone manners and excellent people skills.
  • Ability to operate solo or within a group while handling confidential data responsibly.
  • Comfort working in a fast-paced environment and delivering on tight timelines.
  • Fluency in English (additional languages a bonus).
