Purpose

Provide customer service and account support for UBS customer departments including payment approval, billing, payment, contract encumbrance processing and assisting with vendor inquires. As well as providing training support for new employees.

Responsibilities

  • Process voucher payments (VP2), deposits (VC1), journal entries (VT6), encumbrances (VE3), IDT payments (VT5), Travel request (VE5), and reimbursement payments (VP5) in DEFINE. Process specialized transactions such as SS1, complex payments (VP1) and deposit.
  • Review documents for accuracy, completeness and approve voucher payments (VP1), deposits (VC1), IDT payments (VT5), in DEFINE with minimal supervision. Apply applicable rules, regulations and policies to ensure financial are consistent with university and department policies.
  • Process, research, evaluate issues, provide policy and guidance to customer billing departments. Perform UT Tracker IDT Billing, assist with UEM billing, and Letter billing collection.
  • Backup Accountant II with document review, including VP1/VP2/VE3/VT6/VT5/VT7.
  • Provide consistent, timely, and reliable communication via e-mail or other medium to billing clients, and vendors.
  • Maintain paper and electronic records in accordance with UT Austin record retention policies. Maintain assigned invoices within the BFS Invoice Tracker system. Act as backup for co-workers when needed.
  • Assist in providing training to staff and the creation/update of Standard Operating Instructions (SOI's)
  • Other duties as assigned. Attend meetings as the Department liaison to provide accounting expertise or to assist and answer any financial related questions. Participate in hiring committees as requested. Act as backup for co-workers.

Relevant education and experience may be substituted as appropriate.

Required Qualifications

  • Bachelors Degree or High school graduation or GED.
  • Five years of experience in governmental or commercial accounting at a level comparable to that of an Accounting Clerk III, or equivalent area of complexity.
  • At least two years of experience with Accounts Payable and or vendor relations.
  • Demonstrated experience using a personal computer including experience with Microsoft Excel, Microsoft Word, and Outlook.

Preferred Qualifications

  • Bachelor's Degree in accounting, business or related field or Masters Degree.
  • UT Austin experience desired, with proficiency in DEFINE.
  • Familiar with UT Austin vouchering and accounting policies and procedures.
  • Experience processing web-based documents.
  • Experience with electronic accounting and work management systems.
  • Excellent problem solving skills.
  • Excellent customer service ability.
  • Excellent written, verbal, and interpersonal communication skills.
  • Demonstrated ability to take initiative and work both independently and as a team member without day-to-day supervision.
  • Ability to multi-task and to prioritize.
  • Demonstrated ability to work under pressure of deadlines, while maintaining a high level of accuracy and attention to detail.
  • Excellent organization skills.
  • Demonstrated proficiency in gathering, analyzing, presenting financial data, and making recommendations.
  • Experience with accounts receivable and cash handling.
  • Experience providing customer service.
  • Professional demeanor.
  • Completion of the Campus Planning and Facilities Management Leader Development Program.

Salary Range

$46,000 + depending on qualifications
