Position Summary

The Operations Assistant in the complex Surgical unit will be responsible for Serving as a liaison to Engineering, Environmental Services, Health Technology Management, Materials Management, Safety, and other departments as needed to resolve equipment, supply, safety, compliance, operational, and cleaning issues.

Key Responsibilities:

  • Oversee daily clinical operations and coordinate with departments such as Engineering, Environmental Services, and Health Technology to resolve equipment, safety, and compliance issues.

Regulatory, Safety, and Compliance:

  1. Regulatory, Safety, and Compliance
    1. Participates in daily safety huddles to address safety and regulatory compliance.
    2. Visually monitors environment for compliance with regulatory agencies, including JCAHO to include the following:
      1. Equipment checks
      2. Fire and life safety
      3. Monitoring of compressed gas cylinders
    3. Participates in Engineering/Safety/ESD rounds. Maintains compliance with safety requirements.
    4. Conducts weekly audits, including:
      1. Eye wash station, etc.
      2. Organization of all storage areas/rooms, elevator landing, and emergency equipment.

Equipment Management:

    1. Interfaces with staff continuously throughout the day related to equipment needs and quickly problem solves issues.
    2. Maintains equipment and furniture inventory for areas and monitors to ensure all equipment and furniture are in good working order.
    3. Collaborates with Health Technology Management to resolve medical equipment issues.
    4. Conducts inventory of equipment and notifies supervisor of missing items. Identifies and tags items in need of repair and develops tracking system to ensure return to area.

Responsible for stocking and organizing supplies in assigned areas, such as patient rooms and anything non-ParEx.

Administrative and Patient Experience:

    1. Answers, screens, and routes telephone calls.
    2. Greets and directs patients, families, and visitors. Monitors daily schedule and patient flow to optimize resource utilization and patient experience. Communicates with clinicians and/or supervisors and routes patients/visitors to maintain efficient patient/visitor flow.
    3. Utilizes systems to manage patient information and requests, including ALICE, EPIC/Prelude ADT, Bed Management, I Need It, etc. Prepares routine forms required for encounter.
    4. Performs routine administrative duties, such as opening and sorting mail, photocopying materials, and sorting, collating, and distributing documents.

Organizes and schedules conferences, seminars, and other department-sponsored programs or events. Organizes documents and/or presentations and logistics for meetings, presentations, and events.

Training and Process Improvement:

  • Support staff training, contribute to onboarding, and participate in process improvement initiatives and system updates.

Education:

  • High school diploma required

Experience:

  • One year of customer service, administrative, or experience in a health care setting.
  • Basic knowledge of clinical, operational, safety, and compliance needs of the units/departments.
  • Ability to interpret and apply safety and compliance guidelines.

Schedule: Monday - Friday, 6:30 a.m. to 3:00 p.m

Physical Requirements:

  • Frequent lifting and carrying of patients, children, or objects weighing up to 10 pounds.
  • Regular reaching, grasping, and fine manipulation of objects.
  • Proofreading and checking documents for accuracy.
