WHAT YOU'LL DO
Under the direction of an assigned supervisor, perform and coordinate a wide range of complex and technical accounts payable functions to ensure accurate and timely disbursement of payments in compliance with established policies, procedures, and governmental regulations. Serve as a lead to accounts payable staff, providing guidance and support in resolving issues and ensuring the effective operation of accounts payable activities.
There is currently one full-time (40 hours/week, 12 months/year) vacancy located at the District Administrative Center in Camarillo, CA. pending board approval.
This recruitment is being conducted to establish a list of eligible candidates that will be used to fill district-wide, current and upcoming, non-bilingual and bilingual, temporary and regular vacancies for the duration of the list, not to exceed one year.

The District Administrative Center, centrally located in Camarillo, oversees administrative functions, and provides leadership and services to the three colleges in support of VCCCD's mission.

Representative Duties
Coordinate accounts payable workflow, including daily tasks and check runs within and across departments; assist with workload distribution and provide recommendations to enhance efficiency. E
Serve as a lead to accounts payable staff, providing day-to-day work direction, training, and guidance; provide technical direction on accounts payable functions to staff within and across departments as needed. E
Prepare, review, and analyze reports to identify data anomalies; coordinate corrective actions with other departments to resolve issues and ensure accurate accounts payable processing; collaborate with Purchasing to coordinate year-end tax reporting activities and ensure accuracy. E
Analyze, prioritize and process incoming invoices, verifying vendor and purchase order information, matching packing slips and delivery confirmation, maintaining processed invoices, matching checks with invoices and auditing and maintaining required reports. E
Process District check requests; prioritize incoming check requests, verify account and vendor information; maintain required reports. E
Analyze travel advances, reimbursement requests, and organizational purchasing records for completeness and accuracy in compliance with District policies; audit and verify relevant information and maintain accurate records. E
Identify, analyze, research, and resolve accounting issues associated with accounts payable transactions such as tax problems, purchase order or invoice discrepancies, vendor reconciliations, and audits of documentation to adequately support payment. E
Coordinate with vendors and other departments to improve or streamline operations. E
Prepare, verify, and audit various expense claims in order to process for payment. E
Prepare accounting and statistical reports for submission to supervisors; prepare remittances and reports for various governmental agencies. E
Coordinate upgrade testing within enterprise systems, such as Banner, OnBase, and Intellecheck, ensuring proper functionality and integration. E
Coordinate stop payments and the reissuance of payments as appropriate. E
Foster and maintain positive relationships with district and campus staff, serving as a lead resource for resolving payment and travel reimbursement issues. E
Prepare and maintain a variety of financial logs, reports and records. E
Perform various clerical duties and analytical functions as needed.
Work collaboratively and professionally with faculty, staff, students, and stakeholders from diverse academic, socioeconomic, cultural, disability, gender identity, and ethnic communities. E
Demonstrate cultural humility, sensitivity, and equity-mindedness in working with individuals from diverse communities; model inclusive behaviors; and achieve equity in assignment-related outcomes. E

E = Essential duties
Minimum Qualifications
Graduation from high school or equivalent AND four years of accounts payable experience involving the preparation and maintenance of financial and accounting records. Experience working in a lead capacity preferred.
OR
Graduation from high school or equivalent, including at least 12 semester units of college-level coursework in accounting, AND three years of accounts payable experience involving the preparation and maintenance of financial and accounting records. Experience working in a lead capacity preferred.
OR
An associate degree or equivalent college units (60 semester or 90 quarter units from a recognized college or university), including at least 12 semester units of college-level coursework in accounting, AND two years of accounts payable experience involving the preparation and maintenance of financial and accounting records. Experience working in a lead capacity preferred.
OR
A bachelor's degree, including at least 24 semester units of college-level coursework in accounting, AND one year of accounts payable experience involving the preparation and maintenance of financial and accounting records. Experience working in a lead capacity preferred.

EXAMINATION AND SELECTION PROCESS:

B) Technical Interview = 100% weighting on final score
TRAINING AND EXPERIENCE (T&E) EVALUATION:
A T&E is an assessment of training and experience, beyond the minimum requirements, that has prepared the candidate for the position as evidenced in the application materials. Please be sure to answer every component of each supplemental question as your responses will be scored and serve as your score on the training and experience (T&E) evaluation.
The candidates with the highest passing scores on the T&E will be invited to the technical interview.
TECHNICAL INTERVIEW DATE RANGE AND LOCATION:
Date Range: Monday, July 28, 2025 - Friday August 1, 2025.
Location: The Technical Interview will be conducted remotely, using Zoom. To participate, you must have access to a computer with a camera, microphone, speakers, and a reliable connection to the internet.
The examination components and dates are subject to change as needs dictate. All communication regarding this process will be delivered via email.

ELIGIBILITY LIST: Upon completion of the examination, the eligibility list will be compiled by combining the final examination score with applicable seniority and veteran's credits, if any. The candidates will be ranked according to their total score on the eligibility list. Certification will be made from the highest three ranks of the eligibility list. This eligibility list will be used to fill current vacancies for up to one year from the date of the technical interview.
PROBATIONARY PERIOD:All regular appointments made from eligibility lists for initial appointment or for promotion, with certain exceptions, shall be probationary for a period of six (6) months or one hundred thirty (130) days of paid service, whichever is longer. Classified management, police, and designated executive classifications shall be probationary for a period of one (1) year of paid service from initial appointment or promotion.
