Responsibilities

Pylon Building Group has an exciting opportunity for an Administrative Assistant/Office Manager. This role

supports the President, Senior Accountant, and Operations Manager while ensuring the overall

functionality of the office. We’re looking for a high-energy, service-minded professional who thrives in a

fast-paced environment and takes pride in keeping operations running smoothly. This is a critical position

with daily impact across multiple teams and functions.

Responsibilities and Essential Duties

Administrative & Office Support

  • Provide daily administrative support to executive leadership and project/accounting teams.
  • Manage calendars, schedule meetings, and coordinate company events and functions.
  • Maintain organized digital and physical filing systems for company records, invoices, and project documentation.
  • Enter data, review documentation for accuracy, and support daily office workflows.
  • Oversee the accounts payable inbox, assist with invoice tracking, payment follow-up, and vendor setup.

Communication & Customer Service

  • Act as point of contact for phone calls, emails, visitors, and external correspondence.
  • Manage shared inboxes and direct inquiries appropriately.
  • Welcome guests and provide helpful information to visitors, clients, and team members.

Office Management

  • Maintain office supplies and manage regular ordering and restocking.
  • Ensure a clean, organized, and professional work environment.
  • Coordinate facility needs, including service calls and vendor scheduling.

Education, Skills, Knowledge, Qualifications & Experience

  • Bachelor’s degree preferred or equivalent administrative experience.
  • Minimum of 2 years of administrative, office management, or executive support experience.
  • Experience in construction, accounting, or project-based industries is a plus.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, Teams); experience with Sage Intact /Paperless, Procore, Concur, and DocuSign is a plus.
  • Excellent organizational, written, and verbal communication skills.
  • Energetic and proactive, with the ability to manage multiple priorities in a fast-paced environment.
  • Strong attention to detail, professionalism, and ability to maintain confidentiality.
  • Obtain notary certification in applicable county (or willingness to obtain).
