Provides administrative support to facilitating recurring office/secretarial responsibilities. Receives and screens inquiries via the telephone, mail, and from visitors. Establishes appropriate follow-up procedures within all areas of responsibilities to ensure efficient and timely responses to requests, and promote effective customer service, and efficient office operations. Organizes office workflow.

Schedules patients and doctor’s appointments to organize office visits and meetings ensuring adequate provider coverage and smooth patient flow and customer satisfaction.

Prepares drafts and finalize memos, correspondence and other written documents and disseminates information as appropriate. Files documents and maintains files in order to maintain complete records regarding patients and office operations. Receives, reads and routes incoming mail.

Preparation of the following day's patient charts by assuring that all labs, radiology, pathology reports, consults and follow-up notes are in patient's chart (EMR). Ensures that information can always be easily located and retrieved. Maintains accurate records. Assists with medical records request and form completion.

Calls patients to reschedule canceled or no-show appointments with 24 hours of appointment. Schedules initial consultations, simulation, and follow-up appointments utilizing the department computerized scheduling system.

Assists staff with resolving billing issues involving patient radiation accounts, ensuring that patient accounts are transmitted to the ARIA system for efficient and correct billing of patient treatments. Assist patients and troubleshoot billing issues. May complete insurance claim forms for patients in order to provide timely reimbursement for services rendered and/or collect payment.

High school diploma with one to three years administrative support. Associates degree or higher preferred. Computer proficiency and knowledge of medical terminology required. Knowledge of Microsoft Excel, Word, Outlook.
