The Department of Computer Science is seeking a people-oriented and self-motivated person to provide skilled secretarial support to include maintaining student, faculty, accounting and informative records for the department. This is a twelve month, full-time, benefit-eligible position.
The Senior Administrative Assistant handles office duties in an active department with several affiliated organizations. Specific areas of responsibility include:
1) HR & Payroll — facilitating payroll and time-sheet processes and onboarding new employees; supervising student workers
2) Accounting — budgeting, report preparation, paying invoices, travel reimbursement, stipends, and honoraria.
3) Course management — monitoring and modifying course sections, checking student information, creating and maintaining advising lists.
4) General office functions — greet visitors; answer telephones; process mail; route inquiries; compose, review and finalize forms, reports and correspondence to ensure accuracy; plan and arrange department events.
The Senior Administrative assistant interacts extensively with numerous campus units and off-campus entities, and must be able to develop strong working relationships. This position is ideal for an organized individual who enjoys variety, sets priorities independently, and works effectively and accurately with minimal guidance.
Knowledge, skills and abilities include: excellent communication skills (written and oral), proficiency in essential computer applications (Word, Excel, Outlook, PowerPoint, web browser), knowledge of office procedures, practices, and equipment, experience with basic accounting and budgeting, ability to work productively and professionally with a dynamic student and faculty population.
Prior experience in higher education, including familiarity with Banner and proprietary USD systems is preferred.
