We are looking for our next Billing & Enrollment Specialist to join the team at Delta Dental of Wisconsin. The Billing & Enrollment Specialist is responsible for the accurate and timely entry of enrollment information, billing of group premium or administrative fees, and the accounts receivable function. This position is additionally responsible for responding to inquiries from group customers or brokers and providing support for the Delta Dental of Wisconsin Employer portal.

This full-time hybrid position is located at our headquarters in Stevens Point, WI.

Essential Duties and Responsibilities

  • Process enrollment data received in various formats; EDI834 (Electronic Data Interchange) transactions, Excel spreadsheets, email, or paper
  • Responsible for group and individual premium entry, generating invoices and corresponding late notices, new business enrollment, group transfers, terminations, and changes
  • Processing daily group maintenance of new employees, terminations, changes of coverage, and demographic changes, all in accordance with the group’s contract
  • Responsible for the accounts receivable function in compliance with financial policies and procedures, ensuring accuracy of operations, processing and monitoring incoming payments, and securing revenue by verifying and posting receipts
  • Work directly with employer group customers, agents/brokers, or third-party enrollment and billing vendors to manage new group business and retain existing group business
  • Maintain knowledge of Delta Dental of Wisconsin’s group contracts and Third-Party Administrative agreements and process enrollment and billing transactions based upon the contracted language
  • Educate group customers and agents about the Delta Dental of Wisconsin group contracts or Third-Party Administrative agreements
  • Maintain compliance with State of Wisconsin insurance regulations related to the billing function
  • Process EDI 834 enrollment files, identifying discrepancies and working with the customer or vendor to fix transactions that could not be processed via the electronic file
  • Identify on-going EDI file issues and work in conjunction with the EDI Enrollment Specialists to resolve the issues
  • Responsible for transactions relating to failed financial transactions, delinquent accounts, special adjustments, and/or write offs
  • Perform accounts receivable duties ensuring accuracy and efficiency of operations, processing and monitoring incoming payments, and securing revenue by verifying and posting receipts
  • Generate weekly and monthly billing of group premium, individual premium, claims payments, and administrative fees
  • Ensure accurate entry of banking information for ACH, EFT and credit card setup and payment processing
  • Responsible for accounts receivable and collections on past due accounts
  • Manage premium receipts for fully insured customers and claims funding/administrative fees for self-insured customers
  • Work with financial institution to process daily premium receipts for group and individually billed customers from the lock box
  • Reconcile earned premium versus paid premium
  • Audit cash receipts versus enrollment records
  • Respond promptly and professionally to inquiries from internal and external customers relating to enrollment and billing issues; customer service may be provided by telephone, web, email, chat, or other type of communication
  • Assist with training, mentoring and coaching of team members
  • Assist with the quality assurance function for the team and maintain production standards within the quality assurance guidelines
