Preferred: Prior experience in a medical office. Customer relations, hospital experience or satisfactory completion of related medical practice training program;

Minimum: Must demonstrate the ability to communicate clearly and pleasantly to staff, physicians, patients and visitors. Able to perform under pressure, (relate to patients, hospital staff, physicians and visitors)

Summary:
Operations Coordinator’s responsibilities are to perform clerical and receptionist duties. Answers incoming phone calls, registers patients, and schedules appointments as needed. Performs various clerical/support functions in conjunction with the completion and processing of all types of records including electronic filing and routine release of information requests. Performs other tasks as assigned. Operations Coordinator’s responsible to log patient demographic information into EMR per designated workflow and obtain necessary treatment, billing and consent signatures. Staff also responsible to conduct aspects of pre-visit planning and conductive work in accordance with practice workflow. Encourages and informs patients how to access their patient portals.
Essential Job Functions:

Registers patients ensuring all patient demographic information is correct, ensure all registration paperwork is complete and scanned into the EMR. Enters exams into order entry system, ensuring that orders and diagnosis are appropriate for examination that are scheduled and all paperwork is scanned in the PACS system Confirming that all scheduled exams have an order prior to examination date and time and if not, they have been requested from ordering PCP. Collecting Copay
Operations Coordinator’s responsibilities include contacting patients priors to examination to confirm appointments, provide examination preparation and if patients are new to ascertain where previous examination have been performed so that they can be obtained prior to patient’s appointment.
Ensures all electronic medical records are in appropriate order and information is forwarded for review as needed within the medical records systems. Updates computer with patient demographics, diagnosis, and orders. Makes and records all referral information in the patient record. Reviews and updates the patient demographic information and the patient record at each visit.
Prints and reconciles daily schedule with orders, request orders if they are not available. Ensuring that the proper time frames for exams are accurate and the patient is due for screening exams.
Other responsibilities include ordering of supplies, collecting and delivering mail to the mail room and box in Medical Office Building
Staff training to ensure up to date knowledge and ability to function using Practice EMR in accordance with all policies and legal requirements.
