Position Summary

The School of Engineering, Department of Mechanical Engineering is seeking a dependable, personable individual to join our team as an administrative assistant. As the first point of contact for the department, we are looking for an individual with a history of successful customer service-related administrative employment.

The successful candidate will complete a variety of administrative support duties for the department. This requires a range of skills and a knowledge of UNM policies and procedures. Specifically, this individual will:

  • Assist and direct visitors and resolve administrative problems and inquiries.
  • Compose, edit, and proofread correspondence and reports; and prepare a range of administrative documents.
  • Complete time entry for the department's biweekly and monthly employees while meeting time entry deadlines.
  • Update and maintain departmental calendars for the reserved parking spot as well as various rooms within the Mechanical Engineering Building.
  • Complete all incoming requests for card access and/or key access to the building from faculty, staff, students, and other individuals and collaborate with other department staff to assure that each requester has the appropriate access. (This includes periodically running reports to ensure proper access.)
  • Purchase supplies or services in support of the department’s academic and research mission while maintaining compliance with UNM, state, and federal procurement guidelines. This will include holding a UNM P-Card and will require excellent follow-through to ensure the successful arrival of items/services ordered.

This position is integral to the department and requires an individual who is committed to being in the office from 8 AM-5 PM Monday through Friday with reliable transportation and the ability to arrive on time. Individuals with experience in government agency purchasing processes, particularly in a university setting, and individuals with demonstrated proficiency in MS Office applications (Word and Excel) are strongly encouraged to apply. Conditions of Employment

  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.

Minimum Qualifications

High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

  • Experience preparing a range of administrative documents such as timekeeping, scheduling, purchasing, shipping/receiving, building access permissions, entering data.
  • Experience supporting administration such as answering the main phone line, making copies and scanning as needed, and sorting mail/packages.
  • Ability to multi-task, i.e. assist faculty, staff and students in various tasks or answer inquiries, sometimes simultaneously.
  • Employee time entry experience.
  • Ability to communicate effectively in a variety of circumstances to arrive at a common understanding.
  • Ability to maintain confidential information (FERPA, HR).
  • Must be reliable and able to maintain a Monday thru Friday 8 AM-5 PM schedule.

Pay Hourly: $17.39 - $22.07 Benefits Eligible This is a benefits eligible position.
