Job Description

GENERAL STATEMENT:

Under general supervision, provides management support to the facilities and engineering departments; coordinates collection, distribution, and follow up on requested work orders and facilities and custodial projects; oversees and coordinates grounds maintenance and furniture movement & delivery.

RESPONSIBILITIES:

Generates and assigns work orders for facilities management, skilled trades, custodians, and other support services, as applicable. Follows up and closes work orders as appropriate. Allocates staff on basis of workload, space and available equipment.

Answers telephone to receive, document, and manage facility-wide requests for information or assistance by the facilities, custodial, and support service Departments. Assessed requests for custodial team support and assigns resources as required.

Manages inventory of furniture and related equipment & supplies; makes recommendations for deployment, relinquishment, and/or purchase of furniture and related equipment & supplies.

Coordinates groundskeeping, interior furniture & equipment movement, special-event resource requests, and related custodial activities.

Prepares and updates Departmental Policies and Procedures. Checks records for accuracy on information and for conformity with established policies and procedures.

Assists with the requisitioning, ordering, and/or procurement of Department related equipment, supplies, and materials.

Consistently and efficiently completes all projects using necessary software including reports, invoices, memos, letters, org charts, floor plans, graphics, presentations, and other documents.

Accumulates data for budget preparations, fiscal reports, and review of budget for facilities, engineering, and support services Departments. Monitors distribution of furniture and related equipment & supplies.

Prepares Employees Performance Evaluations, as appropriate. May conduct training programs to maintain proficiency of staff and use of equipment and methods.

Assist with ensuring facilities, engineering, and support service Department staff complete required Human Resources ELM Trainings, Annual OHS, other requirements etc. in a timely manner.

Minimum Qualifications

1. A Baccalaureate Degree from an accredited college or university in Business Administration, Community Health, Psychology or related discipline with one year of full-time experience in a supervisory or administrative capacity in business management systems, general administration, health care and medical/patient systems administration; or,

2. A satisfactory combination of education, training and experience.
