Harlem Hospital Center has been a bedrock of the Harlem community since 1887. The hospital provides a wide range of medical, surgical, diagnostic, therapeutic and family support services to the residents of Central Harlem, West Harlem, Washington Heights and Inwood. Duties & Responsibilities

Responsible for Facilities Management Procurement Process. Under general supervision, with latitude for independent judgment and initiative, assists in the planning, organizing, controlling and coordinating of administrative and office operations in a variety of organizational settings and modalities in the delivery of business and management support systems, health care and patient support systems. Integrates these programs, functions and services with other hospitals and Central Office sectors to maximize optimal levels of performance in the coordination of such activities.

Summary of Duties and Responsibilities:

  • Enter, record and track all procurement requisitions and purchase orders (People Soft/CBRE) for Facilities Department cost centers.
  • Create reports to prioritize entered requisitions and purchase orders
  • Prepare reports and close-out year end purchase orders and requisitions
  • Prepare weekly and monthly department reports for submittal to Executive Management
  • Responsible for the reconciliation of vendors’ invoices and purchase orders
  • Liaise with other departments on matters relating to, receiving, purchasing, budget and finance to expedite requests
  • Maintain files as required
  • Special Projects as Needed
  • Create and manage work order reports in Maintenance Connection
  • Responsible for the weekly processing of time sheets and overtime reports
  • Meet all compliance standards/requirements such as annual physical evaluation / assessment

Minimum Qualifications

Minimum Qualifications:

  • A Baccalaureate Degree from an accredited college or university in Business Administration, Community Health, Psychology or related discipline with one year of full-time experience in a supervisory or administrative capacity in business management systems, general administration, health care and medical/patient systems administration; or,
  • A satisfactory combination of education, training and experience.
