Position PurposeThe Arts & Sciences Program Administrator serves as the principal administrative officer for the Departments of Middle Eastern Studies and Jewish Studies, overseeing a comprehensive portfolio that includes operational management, financial oversight, faculty and student support, and event coordination. Working in close partnership with the department chairs, the Program Administrator ensures both departments function smoothly and effectively, with a strong emphasis on cross-cultural competency, strategic coordination, and responsive communication.

This position requires a high degree of independence, discretion, and cultural sensitivity, particularly given the globally engaged and interdisciplinary nature of these academic departments. The Administrator supervises one full-time administrative assistant and multiple student employees, supporting diverse faculty and students in a dynamic academic environment.

Required Qualifications - Education and Yrs ExpBachelors plus 3-5 years' experience or equivalent combination of education and experience

  • Bachelor’s degree required; Master’s degree preferred or equivalent combination of education and experience.
  • Minimum of 5 years of progressively responsible experience in administrative management.
  • Experience supervising full-time and student staff, with demonstrated success in high-autonomy roles.

Skills and Abilities

  • Proven leadership and organizational skills with attention to detail and accuracy.
  • Strong communication and interpersonal skills; ability to navigate sensitive issues tactfully.
  • Demonstrated cultural competency and ability to support individuals from diverse backgrounds.
  • Financial literacy and proficiency in institutional systems (e.g., Oracle, Banner, OASIS). Commitment to confidentiality, equity, and ethical professional practice.
  • Preferred Qualifications
  • Background in higher education or multicultural academic settings strongly preferred.
  • Master’s degree preferred.

Key Accountabilities

DescriptionDepartmental Operations & Administration

  • Manages day-to-day administrative operations across both departments.
  • Serves as the primary liaison with campus offices and acts on behalf of department chairs when necessary.
  • Ensures consistent implementation of institutional policies and supports departmental planning.
  • Maintains accurate and confidential records related to faculty, staff, students, and budgets.
  • Coordinates facility needs, including office moves, key access, and repair requests.

  • Develops, monitors, and reconciles operating, gift, and endowed budgets.
  • Oversees purchasing, reimbursements, and award disbursements in accordance with fiscal policies.
  • Prepares financial summaries and ensures compliance with audit and reporting standards.

DescriptionFaculty & Academic Support

  • Manages faculty recruitment, hiring, appointment renewals, and promotion/tenure review processes.
  • Coordinates course scheduling, cross-listings, and curricular submissions.
  • Maintains faculty records and supports visiting and affiliated scholars.
  • Collaborates with department chairs on academic planning and programmatic initiatives.

DescriptionStudent Engagement & Program Support

  • Acts as an accessible point of contact for students navigating academic or cross-cultural concerns.
  • Tracks majors/minors and assists with understanding program requirements.
  • Supports student programming, advising initiatives, and referrals to appropriate resources.

DescriptionEvents & Outreach

  • Plans and manages departmental events, including lectures, workshops, colloquia, and student programs.
  • Oversees event budgets, logistics, communications, and hospitality.
  • Ensures programming aligns with departmental values of inclusion, scholarship, and engagement.
  • Coordinates with external institutions and visitors to facilitate smooth participation.
