The Academic/Student Services Assistant will provide overall administrative support for the faculty, staff, and students, including, but not limited: general office support, budget management, maintaining student files, course scheduling, event coordination, and administrative support to the Chair.
Job Description
Student Support:
- Coordinate students' course time and room scheduling for faculty.
- Prepare and compile department student files.
- Assist both current and prospective students with general inquiries on department policies and procedures.
- Connect students with faculty advisors, and support faculty advisors as they track students’ progress
- Welcome and process new students into the major.
- Serve as liaison to the COLA Dean’s Office and Registrar’s Office, and other University organizations on administrative matters related to department’s students.
- Facilitate the processing of student graduation needs for the major.
- Maintain a current email list of majors and share department news and opportunities with students.
- Help students with administrative functions such as Petitions to Academic Variance, Study Abroad Prior Approvals, Transfer Credit Prior Approvals, Withdrawals and the like - most are online forms but students need help finding them, ensuring they get processed, connecting with advisors to properly fill them out, etc.
- Facilitate the processing of department-based student scholarships.
Budget, Management, Finance, and Personnel:
- Work with the Chair and Faculty to manage the general operating budget for the department, approve and monitor expenditures, process deposits and encumbrances, periodically help to process travel and other reimbursements, prepare, maintain, and monitor budget reports.
- Serve as the liaison with the relevant University finance units and keep current on USNH financial and personnel policies and procedures.
- Serve as Expense Data Entry Specialist for the primary department Pcard.
- Manage office supply and equipment purchasing and distribution processes.
- Coordinate the hiring process and related forms for staff, faculty, and students,
Faculty and Chair Support:
- Coordinate and distribute administrative correspondence for department faculty and Chair.
- Compile, compose, prepare, edit, and update department documents such as syllabi, reports, spreadsheets, surveys, mailings, packets, flyers, brochures and handouts as assigned.
- Maintain department files for planning and continuity between changes in elected department leadership including online platforms.
- Establish and maintain yearly and monthly department calendars as well as create meeting agendas and minutes.
- Coordinate and schedule departments meetings, activities, and functions, including managing department events.
- Provide administrative support, organization of files, and data collection for the faculty Promotion and Tenure process.
- Periodically assist with extraordinary faculty expense reports reimbursements related to student-related field schools and research
- Proctor make-up exams for faculty.
General Office Operations:
- Provide telephone and visitor reception, answer general and specific inquiries, route calls/emails, and distribute mail.
- Coordinate facilities and maintenance needs for department offices, archaeology and forensics labs.
- Oversight of student hourly and work study employees who support office operations. This may include providing training and feedback, along with delegating work and approving timesheets.
- Update and maintain department website and disseminate department events and other information on social media.
- Perform other duties/projects related to areas of responsibilities as assigned.
Preferred Qualifications
- High school diploma or equivalent and five years of related experience involving progressive responsible duties requiring discretion and independent judgment or Associate's Degree and three years of related experience or a combination of higher education and related experience equal to five years.
- Computer skills such as word processing, spreadsheets, internet, e-mail, and databases; experience with or ability to learn Workday and University systems preferred.
- Organizational and analytical skills, including familiarity with finance/budget methods.
- Effective written and oral communication skills, including desktop publishing skills.
- Ability to maintain confidentiality, policies, and procedures concerning sensitive archaeological and forensics materials, including human remains
- Ability to establish and maintain effective, collegial working relationships with diverse faculty, staff, students, and the general public; work experience in college/university environment preferred.
