Overall Objective
To provide support to the People & Culture department in its mission to support the ECCO Retail organization and its employees.
Essential Duties and Responsibilities
Employment
- Assist with the recruitment process, including resume searching, reviewing, and interview scheduling.
- Support the hiring process by preparing offer letters, job descriptions, and welcome letters.
- Schedule and coordinate exit interviews.
Administration
- Create, maintain, and audit personnel records as necessary.
- Organize and distribute benefit packages.
- Assist with HR administration and reporting, including unemployment claims, verifications of employment, and EEO reporting.
- Facilitate archiving of HR files and maintain inventory lists.
Employee Services
- Help organize special employee events such as holiday parties and company meetings.
- Support employee recognition efforts, including service awards, weddings, birth announcements, and retirements.
Miscellaneous
- Conduct research for HR-related special projects.
- Perform general clerical duties such as typing, filing, and faxing.
- Take on other duties as assigned.
Other Duties and Responsibilities
- Benefit Invoice Processing: Ensure timely and accurate handling of benefit-related invoices.
- Purchase Order Processing: Manage and track purchase orders in alignment with company policies.
- Unemployment Claims & Training Coordination: Support unemployment claims processing and assist in organizing employee training initiatives.
- Secure Documentation Administration: Maintain and track sensitive documentation with a strong focus on confidentiality and compliance.
- HR Process Exposure: Gain hands-on experience with core HR functions and contribute to process improvements.
- Employee Handbook Development: Collaborate on updates and contribute innovative ideas to enhance the employee handbook.
- Scanning & Filing: Perform regular scanning and filing of documents to maintain organized and accessible records.
- Audit Support: Assist with internal and external audits by preparing and reviewing necessary documentation.
- Employee Records Management: Maintain accurate employee records, including PI, CARTA, and other essential documentation.
- Light Recruiting Support: Assist with recruitment activities such as scheduling interviews and coordinating candidate communications.
- Cross-Border Access: Operate with full access to HR systems and documentation for both U.S. and Canadian teams.

Minimum Qualifications – Education & Experience
- High school diploma or GED equivalent, some college coursework preferred.
- 2+ years of experience in a customer service, administrative support or HR assistant role.

- Ability to work with and maintain confidential information.
- Exhibits a service-mindset in all interactions with internal and external contacts.
- Proficient in MS Word, MS Excel, MS PowerPoint.
- Ability to quickly learn and proficiently work within multiple systems.
- Ability to read, write and speak English at a proficient level; multi-lingual preferred.
Travel Requirements
- Ability to travel up to 10%, both domestic and international.
Physical Requirements
- Ability to lift up to 25 lbs. to waist-height on an occasional basis.
