Educational and Experience Requirement
Bachelor’s degree in related field. Four years relevant administrative assistant experience or experience in a related field. Experience in Higher Education is desirable. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.
Must be a current Sam Houston State University employee in order to be considered for this position.
Nature & Purpose of Position
Performs highly responsible administrative assignments and coordinates administrative services for the division of Strategic Enrollment & Innovation (SEI), providing support to the Executive Director of Operations and the Senior Vice President for Strategic Enrollment & Innovation (SVP for SEI).
Primary Responsibilities
Support to the Executive Director of Operations for SEI:
Provides full administrative support, including managing calendars, scheduling meetings, and handling correspondence. Prepares reports, presentations, and other documents for operational and strategic planning. Tracks and organizes ongoing projects, including deadlines, deliverables, and interdepartmental coordination. Prepares agendas, documents meeting minutes, and ensures follow-up on action items across SEI departments. Organizes events, workshops, and meetings involving SEI leadership. Assists with administrative aspects of budget management, including expense reports, procurement, and financial tracking.
Support to the Senior Vice President (SVP) for SEI:
Helps manages the SVP’s complex calendar, coordinating meetings with high-level internal and external stakeholders. Handles confidential correspondence, drafts memos, and communicates key information on behalf of the SVP. Organizes and prepares materials for meetings, including board meetings, executive leadership sessions, and strategy discussions. Arranges travel logistics for the SVP, including registrations, bookings, and reimbursements. Tracks strategic initiatives, ensures follow-up on priorities, and prepares reports and presentations for the University President or Board of Regents. Maintains sensitive files and documents related to strategic projects, personnel, and university priorities.
General Departmental Support:
Processes travel and training requests, prepares requisitions, and handles purchasing and personnel-related actions, including Electronic Personnel Action Forms (ePAFs). Assists with internal work ticket tracking for administration, purchasing, personnel requests, and other actions as needed. Maintains office files, schedules meetings, and coordinates departmental events.
Performs other related duties as assigned.
Other Specifications
Communicates effectively with other University departments, students, local vendors, and external agencies. Reviews internal procedures and recommends changes to improve efficiency. Acts as a liaison between administrators and staff in matters involving policy decisions. Prepares and maintains records and reports to support departmental activities and decision-making.
Up to 20% of this position, over the fiscal year during off-peak periods, may be performed remotely as determined by the supervisor.
