The IUAA activates IU's powerful global network through live and virtual events, volunteer opportunities, scholarship programs, compelling IU content, and seriously fun traditions. Additionally, the association develops and supports volunteer leadership, serves as a voice for alumni as the university evolves, and provides lifelong learning opportunities.

Job Summary

Department-Specific Responsibilities

  • Provides administrative support to staff within the Alumni Programs team.
  • Manages registration process and serves as point of contact to participants and guests of key IUAA events.
  • Greets visitors, speaks to clientele over the phone, opens and distributes mail, and responds to all general email inquiries for various areas within the Alumni Programs department.
  • Enters and maintains records such as event registration, travel reservations and processes payments, refunds and cancellations.
  • Working with IUAA events and marketing teams, provides critical support for numerous logistical and communications tasks.
  • Compiles and distributes various reports and manages agendas and meeting notes for programs team.

General Responsibilities

  • Provides exceptional customer service by greeting and assisting customers, and responding to customer inquiries and complaints regarding the organization's products or services.
  • Resolves questions and problems from students, employees, and other stakeholders accurately by explaining and interpreting policies and programs with limited research and guidance; provides answers to questions and resolutions to problems.
  • Makes periodic calls to existing customers to determine satisfaction with the organization, products, and services.
  • Builds and maintains business relationships with a variety of customers, including current and prospective students, parents, employees and dependents, departmental representatives, and other stakeholders, to promote customer loyalty and provide information about university programs and services.
  • Ensures delivery of exceptional customer service through fast and accurate processing of orders, communication, and coordinating with other departments to solve inquiries.
  • Provides guidance and assists other customer service colleagues on questions and issues.
  • Maintains high standards of confidentiality of all records and documents.

EDUCATION

Required

  • High school diploma or equivalent (such as HSED or GED)

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.

This role requires occasional evening and week-end hours to work at IU Alumni Association events.

Advertised Salary

$39,520 - $42,328 annually

($19.00 - $20.35 per hour)
