(Student) Advancement Assistant

DEPARTMENT: Advancement-Operations

WORK LOCATION: Grand Rapids - Lettinga Campus

POSITION PAY RANGE: $12,00 - 12,50, Hourly (Please note: Actual pay offered will be commensurate with candidate qualifications and experience, the type of role, pay equity and available funding)

SUMMARY:

This position provides support to the Alumni & Development team as needed. Candidate will work with all aspects of alumni, development, marketing, and communications and obtain real-world experience via daily tasks and projects. The position will be from May – August. \

RESPONSIBILITIES:

  1. Responsible for creating, maintaining and updating files and record keeping systems.
  2. Generate reports, correspondence, presentation materials, spreadsheets and graphics, and other materials using various software programs for the Advancement Office.
  3. Assist with special events and functions as needed.
  4. May be responsible for greeting visitors, as well as answering and routing incoming calls.
  5. Handle documents and donor records while maintaining appropriate confidentiality.
  6. Conduct special projects, research and assignments as needed.
  7. Update social media content calendars and the Alumni & Development Communication calendars. 
  8. Help with database and website management in regards to constituent records, events and communications. 
  9. Send event reminder and thank you emails to event attendees.
  10. Write and send thank you notes to donors and alumni after events and making year-end gifts. 
  11. Update the class notes and mail out alumni membership cards. 
  12. Attend donor and alumni meetings and engagements. 
  13. Work with the Annual Giving Officer to maintain accurate and efficient pledge processes including tracking, reporting and updating constituent records.
  14. Provide GREAT customer service, anticipating and exceeding the needs of our customers.
  15. Understand and abide by all external and internal regulations and policies. This includes NCAA, GLIAC and national affiliations associated within athletics or other role specific regulations.
  16. Demonstrate and promote the University Cultural Values.
  17. Perform other duties as assigned.

QUALIFICATIONS:

  • High School Diploma or GED equivalent.
  • Must be work study eligible.
  • Must be enrolled in a minimum of 6 credit hours as an undergraduate student or 3 credit hours as a graduate student while meeting the standards of academic progress.
  • Experience in office setting preferred but not required.
  • Must be proficient with Microsoft Office, including Word and Excel.
  • Excellent interpersonal skills that transcend diverse audiences; communicating to university customers with positive attitudes toward change, confidentiality, and conflict resolution.
  • Demonstrated motivational and problem solving capabilities with a high degree of integrity, ethics, and dedication to the mission of the University
  • Business office environment. Prolonged sitting and standing. Use of personal computer and telephone (eye and hand strain). 
  • Some travel between locations may be required (own transportation). No regular lifting requirements, occasional lifting up to 35 pounds.
