ROLE DESCRIPTION:

Although located in our Ipsos Poland office, the Project Field Coordinator would be part of the Ipsos Switzerland project management team dedicated to Global Qualitative service line (IUU), working for international clients. 

Under the guidance of the Project Senior Coordinator and respective account teams, the mission/role will be to manage and coordinate a range of projects across markets commissioned by our clients, according to study specifications, respecting quality and timing requirements as well as to execute all activities and tasks linked to project management by applying the relevant skills in an efficient manner.

  • Demonstrating proficiency in the overall research process and Service Lines tools;
  • Mastering all research flows along with interactions between the different stakeholders/suppliers, from simple to complex projects and/or for multiple projects at a time (according to workload defined and approved with line manager);
  • Delivering project management services independently while being aware of own limits/raising concerns/alerting/escalating issues appropriately; 
  • Start showing added value, consultancy in project management issues, proactivity which ultimately drives trust from peers, suppliers and clients.

The key responsibilities will include:

  • Manage and Coordinate Qualitative research projects working closely with and close collaboration a Key Client Account Team made up of a Client Service Director, Associate director and Research Manager or (Senior) Research Executive;
  • Act as Project Fieldwork Coordinator (PFC) across a range of workstreams: costing up proposals with multiple markets, liaising with local moderators, fieldwork agencies, and venues, project updates and executing all tasks and requests related to the project or proposal;
  • Liaising on recruitment, moderation and timings for each potential project and during the project with updates and any requested changes from start to end of project;
  • Attend and manage some Fieldwork (mainly remote/virtual channels with MS Teams and Zoom platforms and other Ipsos technical channels), and scope to travel to some destinations occasionally;
  • Manage invoice queries with suppliers and Ipsos Finance and inputting into the Ipsos system per project
  • Day-to-day communication with account, line manager and clients for all project management related matters (e.g. recruitment, fieldwork, venue hire, transcripts uploading, interpreters, timings, etc)
  • Coordination of all operational tasks & suppliers involved in the project (Fieldwork, Venue, Moderation, Deliverables, Videoing);
  • Fully accountable for project set-up and completion activities such as: 
  • Supervision/monitoring of fieldwork and provision of regular updates
  • Coordination and supervision of other project-related activities which include (but not limited to) Questionnaire/Screener design, project material, project costings/edits/approvals, GDPR documents, local agency documents, supplier invoice approval 
  • Open and regular communication with client service teams and/or end clients 
  • Compliance with overall project timings and internal deadlines
  • Compliance with internal Quality Standards
  • Contribution to project review meeting (escalating to senior management); 
  • Compliance with Ipsos internal/administrative procedures (e.g., costing updates, invoicing…);
  • Ownership of certain tools e.g. champion

QUALIFICATION, SKILLS AND EXPERIENCE:

  • A minimum of 2 years' experience in a company environment
  • International minded, team spirit and multicultural oriented
  • Fluent reading/writing/speaking English 
  • Project Management oriented,
  • Multi-tasking, with high attention to details
  • Data Accuracy & Numeracy
  • Quality Orientation
  • Good command of MS Office (Excel in particular)
  • Strong interpersonal communication skills; Solid in written communication,
  • Self-starter with outstanding organization skills,
  • Open minded, curious
  • Interest in working with and supporting AI in everyday work remit
