The Role 

Entegris is seeking an Administrative Assistant for our Billerica, MA location. 

The Administrative Assistant’s main focus is to enhance our senior level leaders effectiveness by providing overall support. 

In this role you will: 

  • Ability to effectively interact with staff (at all levels) in a fast paced environment, with a high level of professionalism and confidentiality; 
  • Provide overall clerical and administrative support to Executive and senior level leaders and staff; 
  • Maintains Executive and senior leader’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel; 
  • Assists in the coordination, organization and planning of meetings and functions with internal and external stakeholders (executives, employees, customers and investors). This may include coordination of all travel logistics, i.e., itineraries, appointments, locations, transportation, etc.; 
  • Supports office logistics (mail, shipping) and maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies; 
  • Organize and maintain electronic and paper files; 
  • Maintain administrative forms and manuals; 
  • Extreme attention to detail and follow-through; 
  • Strong judgment and decision-making ability; 
  • Outstanding interpersonal and customer service skills; 
  • Must have exceptional organization skills with ability to handle sensitive confidential information in a professional manner; 
  • Discretion, judgment, tact and diplomacy are a must; 
  • Ability to work well under pressure in an ever-changing environment while maintaining poise and professionalism; 
  • Technologically savvy with advanced computer proficiency with Microsoft Office suite; 
  • Must have ability to prioritize workload and multi-task; 
  • Must be able to work independently, as well as partnering and team collaboration with other administrative assistants reporting to senior executives and senior level leaders. 

Traits we believe make a strong candidate: 

Successful candidates will typically have the following skill set: 

  • Previous Administrative experience supporting high level executives and senior leaders; 
  • Advance computer proficiency with Microsoft Office; 
  • Previous experience with heavy calendar and travel scheduling (both domestic and internationally); 
  • Ability to multi task and execute projects with quality and on time delivery; 
  • Strong communication skills and the ability to work independently; 
  • Must be available to work flexible hours for special requests/projects that arise outside of normal business hours.
