Order Management Coordinator

KEY ACCOUNTABILITIES

  • Creating Client Code (for New Company) in ERP System (Trade License, VAT, Dow Jones files)
  • Screening Company thru Dow Jones site & downloading/saving the reports in our server
  • Gathering & Arranging a Categorized Monthly Sales Forecast
  • Gathering all Projects Inquiry on Monthly basis
  • Generating the Blanket Sales order as per PO/Contract in ERP Navision
  • Reviewing/Checking the PO based on the Approved Quote
  • Sending BSO copies for Approvals by email and Releasing Approved BSO to Technical for preparation of Shop drawings
  • Encoding & Keeping record of all Orders In-take in Project Tracking excel file
  • Encoding & Keeping record of all Sales Orders in SO Tracking excel file
  • Encoding & Updating of all HW Sales order in our HW excel list file
  • Preparing Sales Order in ERP Navision (Doors, HW, Samples, Replacement, Re-fabrication materials) as per approved Drawings received from Technical Dep't or from Sales Managers
  • Sending Sales Order to Credit Control & Country Managers for Approval to release prior to fabrication/procuring of materials.
  • Encoding all the ERP BOM as per the provided Door codes by Technical in ERP Navision
  • Encoding HW ERP item code as per the Order requirement or as provided in ERP Navision
  • Requesting ERP Item Codes if Materials are not existing in ERP Navision
  • Releasing of SO to Engineering and Production Dep't, thru email once Approved by Credit/Country Managers
  • Encoding & Reserving the materials/items in the ERP Navision as per provided BOM/PO
  • Creating Warehouse Shipment & Warehouse Pick for Materials ready to be dispatched
  • Preparing & Creating Bar Code for Door Labels
  • Arranging Order In-take, Backlogs every month or as requested
  • Keeping all Released & Approved BSO/SO Soft copies in Projects/Common Server
  • Preparing Summary report of Incoming order of the month.
  • Gathering forecasted order to all Sales in charge for the incoming month.
  • Consolidatinq all the inquiry received per country every month. (Inquiry received thru Company mail)

QUALIFICATIONS, EXPERIENCE, & SKILLS:

  • A diploma or degree in IT/Computer
  • At least 2 years’ experience in customer service/order entry
  • Good knowledge in MS Office (word and excel)
  • Knowledgeable in ERP/Navision or equivalent system in customer service/order entry
  • Team player
