Office Assistant- Special Education

JOB DESCRIPTION

Gilbert Unified School District 

Purpose Statement:

The job of Office Assistant-Special Education is done for the purpose/s of providing clerical support to special education staff; maintaining IEP files and calendars; preparing reports; assisting the speech pathologist, psychologist, and special education teachers with general office duties. 

Essential Functions

  • Assists the speech pathologist, for the purpose of typing reports; sending notices of meeting and making reminder calls to parents; preparing materials; and organizing files and filing.
  • Completes duties as assigned by the psychologist, special education teachers, and speech pathologists for the purpose of printing quarterly reports; sending for special education records for transfer students and managing the schedule of the Child Study Team.
  • Maintains a variety of files, documents and/or records (e.g. reports, logs, databases, agreements, warranty information, permits, etc.) for the purpose of documenting and/or providing reliable information.
  • Maintains master calendar for the purpose of ensuring the IEP and MDT campus meetings; sending meeting notices.
  • Performs record keeping and clerical functions (e.g. copying, faxing, filing, scheduling, reports, etc.) for the purpose of supporting assigned special education staff.
  • Prepares written materials (e.g. standardized correspondence, bulletins, newsletters, etc.) for the purpose of documenting events, providing and/or requesting information.
  • Researches discrepancies of information and/or documentation (e.g. Current practices, policies, etc.) for the purpose of ensuring accuracy and adherence to procedures prior to processing.
  • Responds to inquiries from students, staff, and/or the public for the purpose of providing information and/or directions as requested.
  • Supports assigned special education personnel for the purpose of providing assistance with their administrative functions.

Other Functions

  • Assists other personnel for the purpose of supporting them in the completion of their work activities.
  • Attends meetings for the purpose of conveying and/or gathering information required to perform functions.
  • Maintains inventory of office supplies and materials for the purpose of ensuring the availability as required.

Job Requirements: Minimum Qualifications

Skills, Knowledge and Abilities

SKILLS are required to perform multiple, non-technical tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions of the job include: operating standard office equipment including using pertinent software applications; preparing and maintaining accurate records.

KNOWLEDGE is required to perform basic math, including calculations using fractions, percent, and/or ratios; understand written procedures, write routine documents, and speak clearly; and understand multi-step written and oral instructions. Specific knowledge required to satisfactorily perform the functions of the job includes: concepts of grammar and punctuation

ABILITY is required to schedule activities and/or meetings; gather, collate, and/or classify data; and use job-related equipment. Flexibility is required to work with others in a wide variety of circumstances; work with data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with a diversity of individuals and/or groups; work with similar types of data; and utilize specific, job-related equipment. In working with others, some problem solving may be required to identify issues and select action plans. Problem solving with data requires following prescribed guidelines; and problem solving with equipment is limited. Specific abilities required to satisfactorily perform the functions of the job include: adapting to changing work priorities; communicating with diverse groups; maintaining confidentiality; and working as part of a team.

Responsibility

Responsibilities include: working under limited supervision using standardized practices and/or methods; leading, guiding, and/or coordinating others; and operating within a defined budget. There is some opportunity to impact the Organization’s services. 

Working Environment

The usual and customary methods of performing the job's functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity . Generally the job requires 50% sitting, 25% walking, and 25% standing. The job is performed under a generally hazard free environment.
