JOB DESCRIPTION

Purpose Statement

The job of Master Scheduler - Secondary is done for the purpose/s of coordinating the development of the master schedule, student schedules, initiating and completion of the course selection process, providing a variety of reports and reference materials, and ensuring compliance with district, state, and federal guidelines. 

Essential Functions

  • Meets with Department Heads and Administrators for master schedule predevelopment activities (e.g. determine course offerings, course selection timeline, FTE allotment, teaching assignments, room assignments, etc.)
  • Prepares a wide variety of materials for the course selection process (e.g. course selection forms, course tally report, FTE allotment spreadsheet, insufficient course enrollment report)
  • Coordinates with counseling to ensure students have selected courses that meet graduation requirements (e.g. preparation of credit checks, verification of student course selection forms, hand placement of students in specialty classes, mass loading of core classes, etc.)
  • Assists Special Education ICDC with course selection for students to ensure IEP compliance. Determines placement of classes to define staffing patterns, and FTE allotment.
  • Creates master schedule utilizing complex scheduling software tools and reports. Analyzes results to determine placement of courses and teaching assignments. Determines completion of master schedule by percentage of successfully completed students schedules.
  • Verifies student schedules and assignments for the purpose of ensuring compliance with student requests, teaching assignments, and /or administrative requirements.
  • Processes a variety of documents and materials (e.g. class change requests, room and teacher assignments, student aide forms, etc.)
  • Supports assigned administrative personnel (e.g. Counselors, Administrators, etc.) for the purpose of providing assistance with their administrative and counseling functions.
  • Creates various Ad Hoc reports for Administration, Counselors, faculty, staff and District employees.

Other Functions

  • Other responsibilities include administrative assistant (HS) and/or registrar/records clerk (JH).
  • Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities.

Skills, Knowledge and Abilities

SKILLS are required to perform multiple, non-technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions of the job include: applying pertinent district policies; operating standard office equipment; preparing and maintaining accurate records; professional telephone etiquette; and utilizing complex software applications.

KNOWLEDGE is required to perform basic math, including calculations using fractions, percent, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and understand complex, multi-step written and oral instructions. Specific knowledge required to satisfactorily perform the functions of the job includes: District policies and procedures and concepts of grammar and punctuation

ABILITY is required to schedule a significant number of activities, meetings, and/or events; routinely gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others in a wide variety of circumstances; analyze data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with a significant diversity of individuals and/or groups; work with data of widely varied types and/or purposes; and utilize a variety of job-related equipment. In working with others, problem solving is required to analyze issues and create action plans. Problem solving with data requires analysis based on organizational objectives; and problem solving with equipment is limited. Specific abilities required to satisfactorily perform the functions of the job include: communicating with diverse groups; establishing effective working relationships; working with detailed information/data; and working with constant interruptions.

Responsibility

Responsibilities include: working under direct supervision using standardized routines; providing information and/or advising others; and tracking budget expenditures. Utilization of some resources from other work units is often required to perform the job's functions. There is a continual opportunity to have some impact on the Organization’s services. 

Working Environment

The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling; and significant fine finger dexterity. Generally the job requires 50% sitting, 10% walking, and 40% standing. The job is performed under some hazardous conditions.
