BBSI has joined forces with a leading Pest Control provider specializing in eco-friendly, non-chemical treatments. With over four decades of successful operation, we continue to thrive. We are currently seeking an exceptional Administrative Assistant to provide invaluable support to our President.

Job Summary:

We are seeking a highly organized and proactive Administrative Assistant to provide comprehensive support to the President of the company. This role involves a combination of administrative duties, personal assistant tasks, and HR onboarding responsibilities. The ideal candidate will be detail-oriented, possess excellent communication skills, and thrive in a fast-paced environment.

Key Responsibilities:

Administrative Support:

  • Manage the President's calendar, schedule appointments, and coordinate meetings.
  • Prepare meeting agendas, take minutes, and distribute relevant materials.
  • Handle incoming calls, emails, and correspondence on behalf of the President.
  • Arrange travel accommodations, itineraries, and expense reports.
  • Maintain organized filing systems, both electronic and physical.

Personal Assistant Duties:

  • Provide personal support to the President, including managing personal appointments and errands.
  • Assist with personal correspondence and maintain confidentiality at all times.
  • Handle personal tasks such as gift purchasing, reservations, and other ad-hoc requests.
  • Act as a liaison between the President and external contacts.
  • HR Onboarding:
  • Coordinate the onboarding process for new employees, including scheduling orientation sessions and preparing necessary paperwork.
  • Assist with the creation and maintenance of employee records and documentation.
  • Ensure new employees receive necessary training and orientation materials.
  • Liaise with various departments to facilitate a smooth onboarding experience.
  • Assist with HR-related administrative tasks such as updating employee files and tracking attendance.
  • Qualifications:
  • Proven experience as an administrative assistant or similar role supporting an Executive
  • Exceptional organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong interpersonal skills and the ability to interact with individuals at all levels.
  • Discretion and confidentiality when handling sensitive information.
  • Experience with HR onboarding processes is preferred.
  • Bachelor's degree or equivalent experience preferred.
