The role of the Communications Coordinator is to provide strong and efficient administrative and executional support to the Communications team, enabling the team to successfully implement and execute strategies driving the House’s image, visibility and equity.

The impact you can create at CHANEL

Under the guidance of the team, the Communications Coordinator will manage & oversee:

PR operations

  • Drive brand visibility by supporting the smooth roll-out of campaigns and PR projects

Press kits

  • Requisition and dispatching of press kits in a timely manner

Press room

  • Ensure that the press room is always well maintained in an organised state, with the most relevant collections on display

Press rack and loans

  • Efficient upkeeping of the Press Rack to provide strong support and coordination across various priorities: Press Shootings, KOL Styling, Training, VM and CEM Activities
  • Receive, unpack and label each incoming collection in the press room
  • Maintain a clear organisation of the photoshoot schedule each season and develop the local press samples lookbook prior to each season’s shooting window
  • Manage the incoming and outgoing press loans: ensuring that samples are well packed for pickup, returned in good order and cleaned after each loan
  • Leverage Fashion GPS to track the frequency usage and movement of samples
  • Maintaining the beauty press rack inventory (hero products…)

Photoshoots

  • Handling of press shoots requests
  • Attend Watches & Fine Jewellery photoshoots to ensure proper handling of the pieces and the best representation of the House

Event coordination

  • Support event logistics, including: requisition and procurement of tools, props, F&B; RSVP management 
  • Event support onsite – reception etc

Brand and competitive visibility

Editorial tracking

  • Capture press clippings in a timely manner for reporting to Global and local teams
  • Ensure data and tracking integrity across media monitoring platforms (ensuring that tracking campaigns are set up with all invited profiles, ensure that press negos are accurately captured on tracking platforms)

Competitive tracking

  • Research and consolidate competitor and notable industry orchestrations and activities for reports and competitive insights
  • Consistent tracking and updating of key happenings within the local luxury landscape
  • Identifying all profiles associated with events

Department administration

  • Coordinate meetings, conferences and entertainment bookings
  • Manage travel bookings
  • Support the sourcing, planning and execution of press occasions e.g. birthday, special occasion, meetings, ad hoc requests.. etc.
  • Co-managing and maintaining a list of common vendors with other departments’ coordinators, including florists, restaurants, transport companies.

Financial administration

  • Manage accounting processes as the point contact with external vendors and internal Accounts team, including: vendor creation, purchase requisition creations and amendments, transmitting and recording purchase order numbers, packing slip confirmations and invoicing follow-up

What you can bring to the team…

The ideal candidate should be discreet, trust-worthy, detail-oriented, meticulous, organised and possess strong coordination skills, with at least 1 year work experience preferably in similar capacity. The individual should be able to multi-task and time manage effectively across multiple tasks to support overlapping projects for smooth and timely executions. This is an office-based role and will require the individual to commit to in-person availability 5 days a week.

  • Good organisational skills and systematic, meticulous and detail oriented, high level of initiative
  • Proactive problem-solving skills and ability and a collaborative team-player
  • Efficient time management skills with the ability to juggle priorities and multiple projects
  • Good skills on Microsoft Office (Excel, power point)
  • Fast learner, self-starter and highly self-motivated, creative and able to think out of the box
