Job Description


The Department of Cardiology at HSC needs a Lead Administrative Support Specialist. This is a temporary position through the PEAK program. The job is scheduled to run from 4/22/24-5/24/24 with the option of extending another 30 days. Funding has been requested for a permanent position as well.

Receptionist duties: Greets guests coming into the suite, answers multi-line phone, distributes and receives incoming mail, signs for office deliveries, orders office/breakroom/lab/workroom supplies via Marketplace, Peoplesoft, or p-card. Enters vouchers/requisitions in Peoplesoft, attaches back-up and performs other reception type of activities, as assigned.

Administrative assistant duties: Outlook calendar management of physicians, prepares distributes section and subspecialty calendars and schedules, prepares business communications, and assists with project work such as computer inventory, disposition of research records, and other duties as assigned under the direction of the accounting specialist and senior administrative manager.

Job Requirements


Required Experience: High School Diploma/GED, AND:

48 months office, clerical, or administrative experience.

Skills:

  • PeopleSoft
  • Managing calendars in Outlook
  • Advanced knowledge of office procedures
  • Office management and customer service skills 
  • Advanced knowledge of Microsoft Office Suite (Outlook, Excel, and Word)
  • Excellent interpersonal skills
  • Ability to work independently and as a team player
  • Ability to complete tasks in an efficient and timely manner
  • Must be detail oriented for accuracy of data and information
  • Ability to multitask, be organized, and self-motivated
  • Ability to work in stressful situations and meet deadlines in a timely manner
  • Ability to communicate verbally and in writing
