About the Role: We are looking for an experienced Administrative Support Professional (f/m/d) to join the global Gore Medical Legal, Compliance and Data Privacy Team (LCDP). This role will require advanced administrative support skills, excellent customer service, solution-oriented thinking, an ability to design and implement process improvements, and collaboration across multiple disciplines and teams.

This position will be located at one of our facilities in Putzbrunn (Germany), Paris (France), Verona (Italy) or Barcelona (Spain) with work from home days possible as part of a hybrid arrangement, depending upon the responsibilities of the role and business needs.

Responsibilities: 

  • Support the administrative needs of Gore Medical´s Global Legal, Compliance and Data Privacy Team
  • Anticipate and proactively assist with administrative tasks: manage calendars, coordinate travel, schedule and coordinate conference rooms and equipment, generate, proofread and distribute correspondence, communications and reports, ensure data and intellectual property confidentiality, maintain databases, prepare and edit presentations, track and file expenses, and maintain files (electronic and physical)
  • Ensure timely follow through and completion of tasks, projects, communication, and correspondence while utilizing current technology, tools, and platforms/systems to support your team(s)
  • Coordinate meetings and special events (in person and virtual)
  • Anticipate and evaluate the needs of team(s) and projects; respond with proactive and creative solutions to requests
  • Adapt to ever-evolving business needs and be able to change direction with cooperation and flexibility
  • Implement, coordinate, and participate in process improvement initiatives
  • Collaborate with diverse teams and communicate complex information across teams
  • Develop a strong network and partnerships; leverage relationships with your teammates and your customers to move business processes forward
  • Professionally represent Gore and work effectively as part of a team

Required Qualifications: 

  • 3 years of experience in a legal setting supporting multiple individuals and various teams with a high level of experience in general business operations and handling confidential business and personnel information
  • Customer service and professionalism: demonstrated ability to maintain cconfidentiality, discretion, adaptability, and exercise independent judgement
  • Communication skills: demonstrated ability to effectively communicate
  • Technology experience: advanced knowledge in Microsoft Office including email and calendar management; legal billing, patent/trademark docketing, contract management, translation and electronic signature systems/tools; ability to learn and implement new tools and technology
  • Strategic and proactive administrative support: demonstrated ability to prioritize, solve problems, strategically coordinate and collaborate to meet business needs with high attention to detail, organization and self-direction
  • Project management and coordination: demonstrated experience in project follow through, managing multiple priorities and creating deliverables
  • Fluency in English and German
  • Diversity, Equity and Inclusion: demonstrated ability to provide approachable, engaged and self-aware support to global Associates
  • Ability to travel up to 5% of work time between local facilities and occasionally to off-site meetings or events

Desired Qualifications: 

  • Knowledge in additional apps/platforms such as Microsoft Teams, SharePoint, Forms, Lists, Power BI, Planner, PeopleSoft, Mural, Canva, etc.
