DESCRIPTION

Provides administrative support to faculty members and their research groups in the Department of Electrical and Computing Engineering. Coordinates all activities required to support a group of faculty (10-12 faculty) with diverse and complex activities such as: short and long range planning; administration, teaching, research, community and campus service.

Responsibilities include:

Independently and effectively prioritizing tasks; proactiveness and following up on assignments; ability to work well both independently, as well as, in a team environment; showcase consistency and dependability in a fast paced and often non-linear environment. Assist with development and administration of special complex projects and coordination of special events. Responsibility of financial activity at laboratory level for a variety of funding sources including purchasing, price comparisons, inventory tracking, and working with vendors to ensure best possible price and quality of purchases. Coordinating all logistics including expense reports (Concur), accommodations, and reimbursement. Responsible for complex international and domestic travel arrangements and reimbursements. Acts as liaison between the faculty members, publishers, business office and other on and off-campus organizations in matters concerning academic file preparation, travel, shipping, purchasing, catering, and facilities.

QUALIFICATIONS

  • Demonstrated experience in correctly preparing and completing academic temporary appointments.
  • Experience in higher education and an in-depth understanding of the academic process, academic affairs and academic personnel, preferred.
  • Ability to interpret and communicate Academic Personnel policies and procedures to academic employees/candidates.
  • Ability to write precisely and clearly and communicate on behalf of the department.
  • Excellent communication and interpersonal skills.
  • Demonstrated ability to compile and disseminate information to a variety of individuals/departments.
  • Excellent personal computer skills and experience with software including MS Word, Excel, and Google Suite apps.
  • Ability to maintain long-term project goals while tolerating frequent short-term interruptions of higher priority.
  • Ability to produce high caliber work under extreme pressure of deadlines and interruptions.
  • Knowledge of visa requirements, and immigration and naturalization policies and procedures.
  • Ability to handle highly sensitive and confidential matters in a professional manner.
  • Ability to analyze and evaluate personnel actions, identify and resolve problems and/or recommend solutions.
  • Ability to comply with all Union regulations, restrictions, and procedures. Ability to interpret and convey information to temporary lecturers in regard to benefits.
  • Knowledge of academic leave policies and procedures.
  • Demonstrated experience in the preparation of academic files, bibliographies, biographies.
  • Ability to work independently and effectively with modest supervision and to exercise good judgment. Includes initiative to make independent judgments, identify problems, develop and present recommended solutions.
  • Demonstrated ability to resolve conflicts with creativity and authority while maintaining a professional relationship. Ability to control situations or events in the absence of higher authority and ability to make recommendations or decisions that affect office operations and activities.
  • Ability to analyze complex situations and data, and develop clear and concise written/oral reports or recommendations, especially when no clear directives are provided and/or there are many possible solutions
  • Ability to maintain a high level of confidentiality in all matters related to work.
  • Excellent attention to detail.

SPECIAL CONDITIONS

Pay Transparency Act

Annual Full Pay Range: $40,700 - $81,850 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $19.49 - $39.20

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position.
