Georgetown’s Biomedical Graduate Education (BGE) is home more than 900 trainees studying in a variety of PhD, master’s, certificate, and postdoctoral programs in interdisciplinary basic and translational biomedical science, health science, data informatics, policy, and ethics, and industry science.

Job Overview

The Executive Assistant supports the Department Chair and Senior Associate Dean of the Biomedical Graduate Education Program (BGE), managing the administrative, research and operational logistics for the Department of Neuroscience. Responsibilities include but are not limited to:

  • Coordinate the schedules and calendars of the two senior leaders, assist with research projects, and support various executive office support activities
  • Handle several roles in GMS, including timekeeper, finance requisitioner, and initiator of reimbursements and expenses through accounts payable
  • Serve as office liaison to the technology office, telecommunications, facilities, and various other service contracts that involve internal and external vendors; and schedule departmental retreats as well as other events for Neuroscience.
  • Supervise 2 student workers in their roles that support the overall operations of the office

In support of the Senior Associate Dean for BGE, the Executive Assistant has responsibilities that include but are not limited to:

  • Coordinate, schedule, and calendar meetings with individuals across campus - e.g., BGRO, SOM, Registrar’s Office and GSAS Office; and produce charts, prepare presentations and reports for BGE activities; and assist with Training Grants Associates with Graduate Education
  • Provide administrative coordination for the Master of Integrative Neuroscience program
  • Oversee website development, design, programming, and analytics
  • Using Drupal, handle development and programming, content and graphics development, video streaming, create animations and related imagery, and proofread - in compliance with design standards for the University and the Medical Center; and create, maintain, and coordinate the execution of social media platforms within the program

Work Interactions and Work Mode Designation

The Administrative Specialist 3 acts as a liaison for the Department Chair in the Neuroscience Department and the Associate Dean of Graduate Education; and interacts with the Chairman, Operations Manager, Facilities, Students, Laboratory Management, Faculty, Laboratory safety, and various other departments at GUMC. 

The also interact with Accounts Payable, HR, Purchasing and Contracts, Treasury and Sponsored Accounting, as well as external resources essential to the operations of the department and graduate program; and with the BGE staff, Medical Center faculty, Directors of Graduate Studies, GU Office of Communications, UIS, Graduate School of Arts and Science, Office of the Registrar, and Office of International Programs.

Requirements and Qualifications

  • Bachelor’s degree
  • 3 to 5 years of experience in administration, higher education, and program management
  • Strong computer and work processing abilities and comfortable using Window and Mac environments
  • Advanced use of e-mail and browser applications, MD+S Office Suite, intermediate use of graphics and publishing software - Photoshop, Acrobat, Illustrator, InDesign, Drupal, HTML, social media and intermediate transcriptions skills
  • Knowledge of medical terminology and strong proofreading skills
  • Familiarity with grant agencies and publishers formatting and submission guidelines
  • Advanced document production and distribution skills
  • Strong organization and communication skills
  • Excellent organizational and interpersonal
  • Attention to detail
  • Ability to maintain the confidentiality of data and information
