We are currently seeking a highly motivated, proactive, detail-oriented and organized individual to join our team as an Executive Administrator to the President and CEO of Novavax. This position offers a unique opportunity to work closely with top-level executives and contribute to the growth and success of our company.

The role of Executive Administrative Assistant will provide support in a range of areas including scheduling and calendar maintenance, prioritizing and handling of inbound and outbound communications, organizing meetings and maintaining records, ensuring smooth operations and effective communication within the organization.

Essential Functions

  • Serves as the primary executive assistant to the President and Chief Executive Officer (CEO)
  • Build and maintain a strong and trusted relationship with President & CEO and senior leaders by providing trusted support
  • Provide comprehensive administrative and clerical support in range of areas including scheduling and calendar maintenance, prioritizing and handling of inbound and outbound communications, preparing agendas, scheduling and record keeping of meetings, organization travel and managing expense reports
  • Collaborate with other departments and team members to ensure seamless communication and coordination
  • Think outside the box, finding creative solutions to challenges and streamlining processes
  • Proactive follow up and management of confidential and sensitive information from the office of the President and CEO
  • Handling executives’ requests and queries appropriately
  • Taking dictation and minutes, and accurately entering data
  • Assisting with special projects and research as needed
  • Other duties as assigned

Required Knowledge, Skills, and Abilities

  • Proficiency in all current Novavax technologies and platforms, such as Workday, Concur and Microsoft Office (Word, PowerPoint, Excel)
  • Ability to work independently and collaboratively with a team
  • Demonstrated ability to handle confidential information with discretion and integrity
  • Prior experience working in the biotech / pharmaceutical industry
  • Ability to work in a fast-paced, deadline-driven environment
  • Excellent communication skills, both verbal and written, and the ability to interact professionally with internal and external stakeholders at all levels
  • Demonstrated proactive thinking and anticipation of business needs and requirements
  • Polished, professional demeanor

Education, Experience, Licenses & Certifications

  • High school diploma / GED with 10 years of administrative experience, Associates/Bachelor’s degree a plus
  • Prior experience working in the biotech/pharmaceutical industry preferred
