SUMMARY

The HR Coordinator is responsible for the general administrative duties within Human Resources including supporting the full-life cycle recruiting process. Responsibilities include maintaining electronic records, office coordination, and special projects. Success in this role requires a high level of initiative, organization, close attention to detail, strong interpersonal skills, and the ability to discreetly handle confidential information regularly. The HR Coordinator assists with the day-to-day tasks to ensure that the HR Department remains effective and efficient. This is a full-time position that reports to the Director of Human Resources and provides support to the HR team.

The position is hybrid and will be based in Washington, DC.

Salary: $57,775 - $62,821

Essential Functions

Recruitment:

  • Under the general direction of the Recruitment Manager, assist with the full-life cycle recruitment process, including—but not limited to— scheduling interviews and reference checks, maintaining candidate databases, processing criminal background checks, etc.
  • Post positions on external sites as requested. 
  • Greet and assist with candidate interviews onsite. Resolve issues such as interview cancellations swiftly.
  • Invoice processing for recruitment vendors. For example, job boards and background check vendors.
  • Assist with other duties as assigned.

Onboarding/Offboarding:

  • Set up new employee files in paper and SharePoint, and filing and maintaining HR records, ensuring that all documents are valid and auditable and adhere to federal, state, and local laws.
  • As requested, check calendars to schedule exit interview meetings.

Payroll:

  • Draft Status Change Forms for salary increases, bonuses, title changes, supervisor changes, and promotions. 

General:

  • Provide day-to-day operational and special project support to the HR Team.
  • Redirect the front desk calls to the appropriate person.
  • Maintain, stock, and order HR office supplies as needed.
  • Maintain the HR storage organized.
  • Assist with planning with a variety of special events, including employee recognition programs, benefits open enrollment, training, meetings, receptions, and celebrations. Some events will require in-person attendance.
  • Support team meetings, develop agendas, take notes and ensure follow-up as appropriate.
  • Maintain e-filing systems (OneDrive/SharePoint) and where required hard copy documents. Maintain comprehensive and accurate records including application materials, job descriptions, and any employee documents.
  • Process vendor bills, including benefit invoices, in a timely manner and audit the accuracy of invoices and billing.
  • Assist in distributing mail and mailings.
  • Reconcile monthly HR credit card statements and resolve any associated issues and complete follow-up as necessary.
  • Process and assist with any daily, monthly, quarterly reports as needed.
  • Place special orders such as flower arrangements, catering, etc.
  • Provide administrative support and other duties as assigned.

Qualifications & Requirements 

Education and Experience

  • Associate's degree in human resources, business, or related field and three years of HR experience, or equivalent combination of education and experience.
  • Minimum two (2) years’ experience supporting the full-life cycle recruitment process using recruitment software.
  • Attention to detail and ability to review and audit own work is essential.
  • Must possess a strong work ethic and takes initiative to set priorities, express ideas for improvements, meet deadlines, and proactively solve problems.
  • Working knowledge of Microsoft Office (Word, Excel, PowerPoint).
  • Working knowledge of online job boards and posting to those sites.
  • Knowledge of expense management software preferred. (i.e. Concur).
  • Reliable job attendance and punctuality essential for daily work schedule.
  • Professional manner and a demonstrated commitment to quality and accountability.

  • Experience with Greenhouse
  • Demonstrated written and oral English and Spanish fluency.
