Job Description:

The Administrative Coordinator in the Division of Applied Mathematics is responsible for providing general administrative and programmatic support to this dynamic scientific community, supporting outreach activities, and maintaining Division websites. The Administrative Coordinator supports approximately 140 Applied Mathematics constituents working collaboratively with representatives from the Office of Information Technology (OIT) Service Group, Media Services, the Instructional Technology Group, Software Services, the Computing & Account Password (CAP) office, and other campus offices as required.

Examples of supporting actions in this role include (but are not limited to):

  • Provides administrative and event support to the Student Affairs Manager for activities related to the Applied Math concentration group of over 500. 
  • Assists faculty with letters of recommendation, paperwork for professional societies, letters of support, CANVAS registration, etc. 
  • Departmental liaison with the 2 IT Service Center (ITSC) representatives. In conjunction with the ITSC, assists with taking biennial inventory, including tracking and monitoring the loaning of laptops, and coordinating new hires equipment.
  • Organizes the David Gottlieb annual recital.
  • Maintains numerous Google groups and personnel databases.
  • In conjunction with the Chair, the Director of Graduate Studies, the Director of Undergraduate Studies, and faculty, ensures the Division’s main website and six other research websites within the Division are updated regularly. 
  • Sends out weekly student digest.
  • Posts newsworthy items to the homepage. 
  • Maintains and creates visual communications for the Division, i.e. digital signage, brochures, posters, etc.

Education and Experience

  • Associate's degree and 2-3 years of experience, or the equivalent combination of education and experience required.
  • Must have excellent communication (both verbal and written) skills.
  • Strong analytical and organizational skills.
  • Must be conversant in both Macs and PCs and use of media equipment.
  • Demonstrated proficiency in website maintenance using web design tools.
  • A high degree of proficiency in MS Office, PowerPoint, Filemaker Pro, and relevant security applications.
  • Must possess a good visual sense of design.
  • Ability to work independently as well as part of a team.
  • Demonstrated ability to support a community of diverse perspectives and cultures in an inclusive environment.
