Overview

As a Receptionist at TRC Companies, you will assume the pivotal role of serving as the initial point of contact for our esteemed clientele. This position entails providing comprehensive administrative support across the organization. Your responsibilities will encompass extending a warm welcome to guests and facilitating interactions with individuals visiting the business premises. Additionally, you will orchestrate front-desk activities, including the distribution of correspondence and the efficient redirection of phone calls.

Success in this role hinges upon possessing a personable demeanor, as it inherently involves a customer service dimension. Furthermore, the ability to adeptly manage emergencies in a timely and effective manner, coupled with the seamless optimization of office operations, is imperative. The capacity for multitasking and adept stress management is considered indispensable. Flexibility in working shifts is an advantageous attribute for this position.

Responsibilities

  • Extend courteous greetings to and welcome guests upon their arrival at the office.
  • Direct visitors to the appropriate personnel and offices.
  • Answer, screen, and forward incoming phone calls.
  • Ensure the reception area maintains a tidy and presentable appearance, complete with all necessary stationery and materials (e.g., pens, forms, and brochures).
  • Furnish basic and accurate information in-person, as well as via phone and email.
  • Receive, sort, and distribute daily mail and deliveries.
  • Uphold office security by adhering to safety protocols and regulating access through the reception desk (monitoring logbooks, issuing visitor badges).
  • Procure front office supplies and maintain an inventory of stock.
  • Update calendars and facilitate the scheduling of meetings.
  • Arrange travel and accommodations while preparing vouchers.
  • Maintain up-to-date records of office expenses and costs.
  • Undertake various clerical receptionist duties, including filing, photocopying, transcribing, and faxing.

Qualifications

  • Total of 3 to 5 years of professional experience as a Receptionist, Front Office Representative, or in a similar role.
  • Demonstrate proficiency in the Microsoft Office Suite.
  • Possess hands-on experience with office equipment such as fax machines and printers.
  • Exhibit a professional attitude and appearance.
  • Display solid written and verbal communication skills.
  • Showcase resourcefulness and proactivity in addressing issues.
  • Possess excellent organizational skills.
  • Demonstrate effective multitasking and time-management abilities, with a keen sense of task prioritization.
  • Cultivate a customer service-oriented attitude.
  • Hold a graduate degree; additional certification in Office Management is considered a plus.
