Your tasks will include:

  • Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time
  • Manage contract and price negotiations with office vendors, service providers, and office lease
  • Provide general support to relocates
  • Supporting HR Department in working with candidates according to the instructions
  • Ensure office efficiency is maintained by carrying out planning and execution of equipment procurement, layouts, and office systems
  • Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office
  • Perform review and analysis of special projects and keep the management properly informed
  • Responsible for ensuring office financial objectives are met by preparing annual budget for the office, planning the expenditures, analyzing variances, and carrying out necessary corrections that may arise
  • Participate actively in the planning and execution of company events
  • Handle employees inquiries and complaints
  • Coordinate with IT department on all office equipment
  • Maintain mailing, shipping, supplies, equipment, bills, and errands
  • Organizing safety trainings for employees
  • Monitoring the office access system

What we expect from you:

  • Bachelor’s Degree, ideally in HR or economic field
  • Min. 1 year of experience in administration
  • Proficiency in Microsoft Office (Outlook, Word, Excel and Power Point)
  • Fluency in German and good knowledge of English are a must
  • Excellent interpersonal and verbal/written communication skills
  • Ability to operate under solid pressure and meet tight deadlines
  • Proactive, independent and systematic approach
  • Good organizational skills required, ability to solve problems and keep eye on details and accuracy
