Job Description

The Boston University Washington program is an Internship and career-oriented program focused on helping BU students understand the ways of Washington as an international city, and as a historical, cultural, and political entity. It is administered by the BU Study Abroad office and the site serves as a focal point supporting other BU activities which often include visiting staff members, faculty, alumni, and students. The Program Manager (PM) functions as one of two full-time employees on the Boston University Washington Programs staff it is a small, team-based environment, supplemented by instructors and student workers. The roles primary areas of responsibility cover student life, broadly described, and support of the logistical underpinnings of the program. The Program Manager also visits the main campus and recruits potential students while helping create new partnerships throughout the various departments, clubs and organizations within the University. 

The Program Manager will focus on:

Internship Placement Management (25%)

  • Coordinate all internships for program attendees, which includes sourcing new internship providers, ensuring top-quality internship placements for students, determining and matching internship placement with student interests and backgrounds, and working with all students so they perform to university standards;
  • Support students in resume building, and coordinate and prepare student meetings with internship sponsors, faculty and the D.C. Director as appropriate;
  • Assist the D.C. Director in bringing a greater visibility to the program, marketing and publicizing the program to D.C. area internship providers, BU and BU in Washington alumni in the D.C. area and in Boston, along with potential stakeholders, which include potential employers, industries, alumni, and students. 

Program Management (25%)

  • Coordinate program field trips and events, information and orientation sessions, while ensuring the health, safety, and general well-being of students in the D.C. Program;
  • Serve as a mentor and counselor, helping students throughout the course of the semester as help is needed with internships, courses, networking opportunities and alumni-related events;
  • Help coordinate and plan student and alumni events including Orientation, Parents Weekend, and a Speakers Series (to include other student-related evening events). Plan and coordinate overall setup and logistics of most program in-house events from beginning to end;
  • Collaborate on the development on new programs and activities in collaboration with the Director, DC programs and Boston-based staff. 

Student Life and Recruitment (20%)

  • Participate in recruitment on campus and serve as the first point-of-contact for students as they are recruited to the program;
  • Handle arrival, departure and last-minute information (prior to students arriving in Washington);
  • Foster the development of a living-learning community among students, faculty and staff;
  • Assist with student emergencies, while serving as an emergency contact for students;
  • Oversee and manage the BU in Washington Mentor Program.
  • This new role requires connecting with and getting to know BU alums in various fields and matching their backgrounds with current or incoming students;
  • Be responsible for ensuring residence and office/classroom health, safety and security, working with the DC Director and BUSA leadership to continually assess health and security needs and ensure they are implemented and routinely assessed. 

Finance and Operations (20%)

  • Support the Director in financial planning and management, process financial transactions, monthly accounting and overall budgeting;
  • Manage DC Program finances, monitor the budget, reconcile bank account records, process bills, and prepare monthly financial reports consistent with BU and BUSA standards;
  • Order new supplies and/or physical plant materials as needed, and oversee upkeep of facilities;
  • Oversee and manage information technology resources for the office, dormitory and classrooms and troubleshoot any concerns, in consultation with Global Programs Technology Services.

Marketing and Communications (10%)

  • Help develop and manage content for the BUDC website and social media pages;
  • Create Orientation manuals and welcome packets and publications, ensuring students have ample information on Washington work and life culture before and during the program;
  • Create and oversee student databases, blogs and social media content.

Required Skills

A cover letter is required for consideration.

  • Relevant B.A/B.S required; higher degree preferred.
  • 3+ years of experience.
  • Experience in student supervision and internship management.
  • Knowledge of Washington, D.C. culture, some history, as well as current events.
  • Ability to multi-task; someone driven and who can work closely with a small team.
  • Very effective organizational capacity that includes strong networking and interpersonal skills including the ability to relate to students, faculty, and alumni.
  • A natural recruiter, people-person and networker who thrives in motivating other people.
  • Strong command of Microsoft Office with emphasis on Excel, Word, and PowerPoint skills and thorough technological knowledge and ability to function with basic technology (and social media) tools needed to help run the program.
  • Someone looking to grow in the position as a manager and leader.
  • Independent self-starter with excellent problem-solving skills.
